Job description

We are seeking a highly organized and detail-oriented Fleet Logistics Administrator to join our team. This role works closely with Fleet, Shop, Operations, Purchasing, and Accounting teams to ensure timely processing of purchase orders, accurate reporting, inventory accountability, and proper allocation of fleet-related costs.
Key Duties & Responsibilities:
  • Create and process purchase orders, ensuring accurate coding, approvals, and timely entry into Sage.
  • Coordinate with vendors and internal teams to resolve invoice, purchase order, and billing discrepancies.
  • Track and maintain fleet expenses, fuel allocations, inventory levels, equipment costs, and work order status.
  • Maintain accurate fleet records, inventory data, fuel reporting, and administrative documentation.
  • Assist with inventory counts, audits, reconciliations, and replenishment planning.
  • Prepare recurring reports and support data analysis to identify trends, discrepancies, and opportunities for process improvement.
  • Support WIP meetings by tracking repairs, maintenance progress, action items, and equipment status.
  • Collaborate with Fleet, Shop, Purchasing, Accounting, and Operations teams to support daily fleet operations.
  • Perform additional administrative, reporting, and operational support duties as assigned.

Skills & Qualifications:
  • 2+ years of administrative, fleet, purchasing, accounting, or related experience preferred.
  • Experience creating purchase orders and working within accounting or ERP systems preferred.
  • Experience with Sage, Excel, Smartsheet, or fleet management systems preferred.
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to manage deadlines and work in a fast-paced environment.
  • Strong communication and problem-solving skills.
  • Bilingual (English/Spanish) preferred.
