We are partnering with a leading toy manufacturer that specializes in the design, development, and production of custom consumer products for some of the world's most recognized brands, including Disney, Universal, Costco, Nintendo, SeaWorld, and GameStop.


Position Overview

We are seeking a highly organized and proactive Office Administrator to support daily office operations and cross-functional teams. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in keeping operations running efficiently. The Office Administrator will play a key role in supporting company operations through administrative coordination, office management, sample tracking, and internal team support.


Key Responsibilities

• Process purchase orders (POs)

• Perform PLM system data entry and maintenance

• Update and maintain Smartsheet schedules and tracking systems

• Coordinate and facilitate product samples, prototypes, and shipments

• Manage sample inventory and maintain accurate records of development and production samples

• Purchase, track, and maintain office supplies and equipment

• Organize and maintain office facilities, including samples, packages, supplies, and common areas • Coordinate office maintenance and vendor services as needed

• Provide administrative support across multiple departments

• Conduct research and compile reports, presentations, and other materials for supervisors and team members

• Support team communication and assist with operational organization

• Answer and direct incoming calls, take messages, and respond to general inquiries

• Assist office personnel with urgent tasks and special projects as needed


Skills and Requirements

• BA/BS degree preferred

• Excellent verbal and written communication skills

• Professional and personable communication skills in person, over the phone, and via email

• Strong organizational, multitasking, and time management abilities

• Ability to prioritize tasks and meet deadlines in a fast-paced environment

• Strong attention to detail and accuracy
