We’re looking for a highly organized, proactive, and service-oriented professional to support two Senior

Wealth Management Advisors who provide holistic wealth management, business succession, estate, tax,

retirement, and risk management planning for successful families, business owners, and executives. This

person will serve as an operational hub on the advisory team, ensuring client relationship, planning

engagement, and internal projects move forward efficiently. The primary responsibility is to help advisors

execute client work by managing cases, coordinating projects, prioritizing competing demands, and

delivering exceptional client experience. Key to this role is precision, process excellence, confidentiality,

and teamwork within a high-trust advisory environment.

Primary Responsibilities

• Calendar management – coordination and management of the Advisors’ calendars, schedule client

meetings and other events. Resolve conflicts as they arise.

• Scheduling – arrange meetings and events coordinating all logistics and preparation of materials as

required.

• Inbox/Email Management – monitor and prioritize Advisors’ email, respond on behalf of the Advisor

as directed, ensure timely response to all critical emails.

• Client Experience – serve as point of contact for clients ensuring inquiries and requests are

addressed promptly. Oversee client meeting preparation, materials distributions, and follow up

activities.

• Administrative Support – oversee and implement client review process; assist with preparation of

reports, presentations, and other documentation as needed; proactively reach out to solve

problems and achieve set goals.

• Business Development Support – coordinate prospective client meetings and presentations, track

new business and client opportunities, support marketing events and referral relationship activities.

Qualifications

• Education: Bachelor’s degree in business administration, Finance, or a related field preferred.

• Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar role within

financial services.

• Skills:

o Strong written and verbal communication skills.

o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

o Ability to work independently and as part of a team.

o High level of discretion and confidentiality.
