Position Summary
The Facilities Project Administrator Associate will be an integral part of the Corporate Facilities Team at South Jersey Industries. This team member will oversee SJI's mailroom and courier operations and support Facilities functions and capital projects. The successful candidate will enjoy favorable career progression at a stable, growing company. Essential Duties and Responsibilities:
Mailroom
  • Develop new shipping program resulting in cost savings with USPS
  • Oversee day to day operations of Mailrooms in Folsom and Atlantic City
  • Shipping vendor management
  • Process invoices for shipping vendors
  • Manage courier relationships

Document Retention Policy Administrator for SJI, SJG, ETG
  • Maintain organizational list of authorization to request documents
  • Maintain organizational list of authorization to destroy documents
  • Maintain and monitor documents storage
  • Report on documents ready for destruction
  • Manage conversion of physical documents to digital documents
  • Process invoices for document retention
  • Maintain supplier relationship with document vendor
  • Manage large departmental scanning projects (HR, Accounting, Treasury)

Project Coordination
  • Coordinate and track Facilities Capital projects
  • Attend project meetings on behalf of facilities management
  • Coordinate all projects with business areas that require facilities and mailroom involvement
  • Provide input and scope for SOWs
  • Organize and participate in contract renewal negotiations

Administrative
  • Updating and maintenance for Facilities SharePoint
  • File/record administrator for Facilities Team site
  • Manage Facility issue reporting site
  • Maintain spreadsheet trackers for Facilities vendor contract documents
  • Provide general administration support to department manager

Invoicing/ Vendor Communication
  • Coder for Facilities in Workday
  • Create and maintenance service contracts
  • Create and maintenance PSA's
  • Create and maintenance of Purchase Orders
  • Assist in negotiation of pricing and contract terms
  • Change in orders
  • Obtain w-9 and insurance from suppliers/vendors
  • Communicate with vendors for vendor/supplier registration
  • Discuss, review, dispute invoicing concerns with vendors
  • Liaison between department manager and executives for vendor contract execution
  • Liaison between department manager and vendor
  • Collaborate with procurement department to assist in savings opportunities

Qualifications
  • Bachelor's degree with a minimum of 0 years of relevant experience

  • Equivalent work experience may be considered in lieu of degree

$50,250 - 80,400
