We are a well-established and growing custom sign company seeking a highly organized and motivated Signage Installation Assistant Coordinator to help manage the daily coordination of our installation department.
This is an excellent opportunity for someone who enjoys working in a fast-paced environment, solving problems, and ensuring projects are completed safely, efficiently, and on schedule.
Position Summary
The Signage Installation Assistant Coordinator works closely with our Installation Manager, Project Managers, Sales Team, and field installation crews to ensure signage projects move smoothly from production to final installation. This role requires exceptional organizational skills, strong communication, and the ability to manage multiple priorities simultaneously.
Responsibilities
  • Assist in scheduling installation crews and service technicians.
  • Coordinate installation dates with customers, contractors, and project managers.
  • Prepare installation packets, work orders, drawings, and required documentation.
  • Order and coordinate equipment rentals, including cranes, lifts, and specialty equipment.
  • Obtain and organize permits, inspections, and site requirements when needed.
  • Communicate daily with installation crews regarding schedules and project updates.
  • Monitor project progress and proactively resolve scheduling conflicts.
  • Maintain installation calendars and update project statuses.
  • Coordinate material deliveries between production, vendors, and job sites.
  • Support warranty and service scheduling.
  • Maintain accurate job records and documentation.
  • Assist with inventory tracking of installation materials and hardware.
  • Provide exceptional customer service while representing the company professionally.
  • Provide Site Survey and Field Support as needed

Qualifications
  • Previous experience in sign installation, project coordination, install scheduling, dispatching, or administrative support a must.
  • Excellent organizational and time-management skills.
  • Strong communication and customer service abilities.
  • Ability to prioritize multiple projects in a fast-paced environment.
  • Proficiency with Microsoft Office (Outlook, Excel, Word).
  • Experience with project management or scheduling software is a plus.
  • Ability to read construction drawings or signage plans is preferred but not required.
  • Detail-oriented with strong problem-solving skills.
  • Positive attitude and willingness to work as part of a team.
