General Summary

The Administrative Assistant I will be responsible for assisting the Department Manager and all other department personnel with all clerical and administrative functions within the department. This position will also have primary responsibility for telephone receptionist duties. This position will temporarily perform the duties of other office personnel during times of excessive workload, vacations, or other absences. The Administrative Assistant I reports to the Department Supervisor or Manager.

Responsibilities:
  • Assist the Department Head with all facets of departmental operations.
  • Responsible for routine clerical departmental duties as assigned by Department Head.
  • Greet and manage incoming calls.
  • Input payroll data from time sheets into the payroll system.
  • Process Accounting close out requirements (Credit Card receipt processing, Invoice Approval process).
  • Process purchase orders.
  • Process weekly invoicing.
  • Assist department personnel with administrative functions.
  • Ensure all office common areas are organized and ready for use (Conference room, kitchen, copy room, etc.).
  • Provide administrative support for department staff to include reports, spreadsheets, labels, schedules, communications, filing, etc.
  • Process incoming and outgoing mail and packages.
  • Become sufficiently familiar with other office support to allow for reliable support.
  • Additional responsibilities may be assigned as needed by the Department Head.
Position Requirements:
  • License: Valid state driver's license as required by job conditions or by the company.
  • Certifications: None Required.
  • Education: High School Graduate/GED required.
  • Experience: Minimum of 1 year general office experience.
Working Conditions:
  • Work in a climate-controlled office setting with varying degrees of stress and time pressure.
  • Considerable amount of time making repetitive motions.
  • Considerable amount of time sitting.
  • Considerable amount of time using telephone and computer.
  • Sounds, noise levels may be distracting or uncomfortable.
