Shipping & Receiving Coordinator

Summary:
The Shipping & Receiving Coordinator is responsible for managing all shipping and receiving activities to ensure products are accurately inbounded, shipped, moved, and stored within the Warehouse/Inventory tracking system. This role supports timely and accurate order fulfillment, inventory control, and compliance with safety and quality standards within Prinova's fulfillment centers or contracted 3PLs.
Essential Duties and Responsibilities include but are not limited to:
  • Perform inbound receiving functions, including verifying receipts, marking/tagging pallets, and updating the Warehouse/Inventory Tracking System.
  • Perform outbound shipping functions, including confirming invoice accuracy, generating labels per customer requirements, and scheduling carriers for pickups/deliveries.
  • Communicate effectively with internal teams (Customer Service, Purchasing, QA, Product Management) regarding inventory inquiries, discrepancies, and order status.
  • Track and handle orders to ensure timely delivery; follow up with carriers on transit times.
  • Review and reconcile documentation for accuracy, address discrepancies to the appropriate team in a timely manner, and generate labels per customer requirements.
  • Maintain systematic product location and proper tagging/marking of merchandise.
  • Assist with cycle counts and year-end physical inventory; resolve discrepancies.
  • Manage quarantine inventory in coordination with QA and Product Managers.
  • Check-in drivers and manage shipping/receiving documentation.
  • Maintain warehouse appointment calendar and ensure compliance with audit requirements.
  • Other duties as assigned.

Required Education and/or Experience:
  • High school diploma or equivalent required.
  • Minimum of two (2) years related experience in shipping, receiving, or warehouse operations.

  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite or related software.
  • Advanced skills in Microsoft Office (Word, Excel).
  • Familiarity or general aptitude for ERP/Warehouse/Inventory tracking systems is preferred.
  • Ability to pass Prinova internal forklift certification.

Work Conditions & Physical Requirements:

  • Ability to lift up to 55 lbs.
  • Work environment is normally in an office setting. Must be able to make frequent rounds in a warehouse environment.
  • Ability to view a computer screen and type for extended hours.
  • Ability to sit and stand for extended periods of time.
  • Ability to stand for extended periods of time.
  • Must be able to wear any required PPE such as scrubs, hair net, lab coat, and facemask.
  • Ability to work in a packaging area with a moderate powder substance in the air with or without a respirator.
  • Ability to work above the shoulders.
  • Other physical requirements include frequent squatting, bending, twisting, and bi-lateral wrist movement.
  • Ability to work around a variety of different smells and aromas.
  • Ability to adjust work schedule as business needs require.
