POSITION PURPOSE
The Shared Services Clerk will act in a back-up capacity for invoicing, accounts payable and cash applications. In addition, to review and update all related Standard Operating Procedures (SOP) for each position to ensure processes and duties are well documented. To perform other duties as assigned by management.
ESSENTIAL FUNCTIONS
Cash Applications
• Apply customer payments to open invoices in SAP & SAP B1.
• Obtain lockbox receipt images and wire information from all SSAB banks.
• Download cash receipt information in applicable shared services directory files.
• Update the daily cash excel report and distribute along with the lockbox receipt images to department.
• Apply Cash to open receivables correctly, completely and within 24 hours of receipt. This includes setting up debit memos, short pays and overpayments in the system.
• Correct any cash receipts errors identified from the Daily Cash Balancing process immediately upon notification.
• Email customer deductions and overpayments to applicable Credit Analyst.
• Perform offsets timely (within 2 Days) and accurately when requested by the credit department.
• Ability to analyze, research and resolve discrepancies is required.
• Maintain policies and procedures for Cash Applications.
Invoicing
• Issue invoices to customers on a daily basis
• Do invoice adjustments including price discrepancies, freight adjustments, claims and other adjustments
• SSAB Special Steels check issuance on a weekly basis
• Credit references requested by third party entities of SSAB existing customers.
• Maintain policies and procedures for Invoicing.
Accounts Payable
• Act in a backup capacity for accounts payable in its entirety.
• Back up for AP checks for SSAB Americas, Canada, and Pittsburgh issuances, which are normally done by Accounts Payable Clerk.
• Receive/invoice/vouch invoices into Maintenance Connection or SAP.
• Assist with reconciling vendor statements.
• Maintain policies and procedures for Accounts Payable.
Other Tasks
• Various administrative duties of copying, mailing, filing and other duties as requested by management
• Manage lockbox maintenance - assign and reassign new lockboxes to customers as needed to ensure information mailings are sent to appropriate customers.

Competencies and Experience
Required:
• Basic to intermediate excel skills
• Excellent communication skills both oral and written with the ability to maintain a professional approach at all times.
• Ability to work well as part of a team environment, with a comfort level working independently as required.
• High level of accuracy and attention to detail.
• Strong keyboarding skills to include10-key and data entry experience
• Desire and commitment to working in a fast-paced, deadline-oriented environment
• Excellent organizational and time management skills
• Excellent analytical and problem-solving abilities
• Must be able to work overtime as required.
Education
Required:
• High School Education / GED
