The Admissions Specialist and Program Coordinator provides administrative and strategic support and assistance for a range of duties across all programs in the English Language Institute. The role is responsible for pro-actively executing a high volume of processes that require analytical and evaluative skills to support students in the admissions process and to promote programs in institute's portfolio.

Required Qualifications

Education: Bachelor's Degree

Experience: 1-3 years in international and/or education contexts

Knowledge, Skills, Abilities:

  • Knowledge of and ability to use software systems (Microsoft Suite, Google Suite) proficiently

  • Ability to communicate with and teach students with limited English

  • Ability to proactively manage and prioritize tasks and projects

  • Ability to take initiative, think critically and utilize problem-solving skills

  • Ability to work effectively with a wide range of constituents in an international student community

  • Ability to gather data, compile information, and prepare reports

  • Ability to work independently and with limited supervision

  • Ability to use tact and discretion when dealing with a variety of issues (e.g. finances, immigration, family issues)

Preferred Qualifications

Education: Master's Degree

Experience:

  • 3-5 years experience in international and/or higher education contexts

  • Experience in international admissions

  • Experience teaching English to students from non-English language backgrounds

Knowledge, Skills, Abilities:

  • Ability to communicate in Spanish, Portuguese, Vietnamese, Japanese or a language in addition to English

  • Knowledge of Banner, SLATE, Oracle, Trilby, and/or SEVIS software systems

  • Knowledge of e-marketing systems (e.g. MyEmma, MailChimp, etc.)

  • Knowledge of English language programs in a global market

Compensation and Benefits

About The College/Department/Division 

The Division of Global Engagement (DGE) leads, coordinates, and supports the University of Tennessee, Knoxville's global education, research, and engagement strategies, operating under the Office of the Provost. DGE's work spans international partnership development, support services for international students and scholars, the facilitation of study abroad and global learning opportunities, and the creation of intercultural programming that fosters cross-cultural awareness and global citizenship on campus and in the broader community. The division is organized into six units-the English Language Institute, Global Research, Innovation, and Partnerships, Global Security, Risk, and Resilience, the International House, International Student and Scholar Services, and the Programs Abroad Office. With a staff of more than 40 professionals, DGE serves approximately 1,200 international students from over 100 countries, 500 international scholars, and more than 2,000 UT students studying abroad each year, ensuring that UT remains connected and engaged globally.

  • Provides front-line, high-end customer service, greets visitors, answers phones, responds to email inquiries, and distributes mail

  • Works independently with confidential and time-sensitive materials, utilizing UTK's CRM, SIS and other student management software (e.g. SLATE, Banner, Trilby, DASH)

  • Leads marketing campaigns and customer service correspondence with internal and external stakeholders in-person and online to promote the institute's portfolio

  • Manages institute-wide calendars, events, which often require coordination with other unit and campus staff

  • Reviews, monitors, and evaluates student application pipelines, identifies issues or trends in lead generation and conversion rates

  • Provides recommendations and manages all information related to admissions processing, student onboarding, placement, plans of study, student retention

  • Maintains student immigration records and compliance-related documentation, interprets established guidelines, and ensures accurate record-keeping within applicable systems and procedures by serving as a DSO

  • Coordinates internal marketing and outreach activities, monitors engagement metrics, and recommends communication approaches to support program visibility and enrollment growth

  • Manages and oversees social media and marketing platforms (Instagram, Facebook, Youtube, MailChimp, WhatsApp, etc.)

  • Teaches as substitute instructor for English language classes

  • Independently and proactively sets meetings and events; including space reservations, ordering or picking up food or other materials

  • Manages, organizes, inventories all physical materials at the institute (including but not limited to supplies, textbooks, electronic resources, keys, devices)

  • Makes decisions regarding student payments, refunds, invoices, and relevant reports

  • Provides support for students pre-arrival and arrival (e.g. VolCards, insurance, registration, housing, transportation, etc.)

  • Other duties as assigned by the director
