Job Title: Logistics Coordinator Location: Miami Job Type: Full Time Monday to Friday – Hours/Shifts to be determined by the Country Managers Reporting Line: Reports to the Operations Supervisor. In the absence of the Operations Supervisor, reports to the Country Manager. Position Summary The Logistics Coordinator is responsible for managing and optimizing operational processes while ensuring exceptional customer service in a fast-paced and time-sensitive environment. The role requires a proactive and detail-oriented professional with a deep understanding of time-critical logistics and a track record of successfully managing both operations and customer service aspects. Responsibilities • Oversee day-to-day operations to ensure the timely and efficient delivery of time-critical shipments. • Coordinate and manage the transportation of time – critical shipments, ensuring compliance with all relevant regulations and guidelines. • Provide accurate and timely quotes to customers based on shipment requirements, service levels, and routing options. • Communicate with carriers and vendors to ensure seamless operations, resolving any issues or discrepancies promptly • Collaborate with cross-functional teams to streamline workflows and address operational challenges. • Prepare and raise AWBs and ensure that all supporting documentation—such as DG declarations, commercial paperwork and customs paperwork—is correctly obtained from relevant parties. • Act as the primary point of contact for customers, delivering exceptional service and handling inquiries efficiently. • Proactively update customers with real-time shipment status to manage expectations • Resolve customer issues and concerns to ensure a high level of satisfaction. • Implement feedback mechanisms to continually enhance the customer experience • Support process improvement initiatives aimed at increasing operational efficiency and reducing turnaround times. • Assist with additional duties and special projects as assigned by management. Competencies ▪ Attention to Detail – Maintains high accuracy when handling shipment data, documentation, and scheduling, minimizing costly errors. ▪ Time Management - Efficiently prioritizes tasks in a fast-paced, deadline-driven environment with multiple simultaneous shipments. ▪ Communication Skills– Communicates clearly and professionally with customers, carriers, and internal teams—both verbally and in writing. ▪ Problem-Solving – Responds calmly and quickly to operational disruptions, proposing practical solutions under pressure ▪ Customer Focus - Maintains a service-first mindset even in challenging situations ▪ Adaptability - Remains flexible and composed in changing conditions, including after-hours issues, urgent reroutes, or last-minute requests ▪ Team Collaboration - Works effectively with colleagues across departments to ensure seamless service and operational continuity. ▪ Initiative - Takes proactive steps to prevent problems, improve processes, and follow up without needing direction. ▪ Technical & Industry Knowledge - Understands freight forwarding workflows, especially for air freight and time-critical logistics Required Skills & Qualifications • Minimise 3 years of experience • Proven background in time-critical logistics and aviation AOG shipments • Solid understanding of air freight procedures, routings, and documentation • Excellent written and verbal communication skills for engaging with customers, carriers, and internal stakeholders. • Strong attention to detail and ability to maintain high accuracy under pressure • Knowledge of customs procedures import/export • Flexibility to work outside standard hours when needed due to the nature of time-critical logistics. • Fluent English (spoken & written) Preferred • IATA Dangerous Goods Awareness certification (or willingness to obtain). • Experience with quoting freight services and understanding of rate structures and margins. • Knowledge of customs clearance procedures and relevant documentation (even if managed externally). • Familiarity with incoterms and international trade compliance. • Experience working in a 24/7 logistics time-critical service environment.
