**As we continue to grow, we are seeking a Content Administrator to join our team at our Buena, NJ location.


Position Summary

The Content Administrator supports SERVPRO contents operations by managing documentation, inventory, scheduling, and communication related to contents pack-outs, cleaning, storage, and pack-backs. This role ensures accuracy, compliance with SERVPRO standards, insurance requirements, and internal procedures while providing excellent customer service.

Essential Duties & Responsibilities

Administrative & Documentation

  • Create, maintain, and audit contents inventories using SERVPRO-approved systems (e.g., DASH, Contents Pro, or equivalent).
  • Ensure proper documentation for pack-outs, cleaning, storage, and pack-backs.
  • Upload and maintain photos, notes, and job documentation in job management systems.
  • Prepare job files for billing and review prior to submission.
  • Estimating and uploading of projects

Scheduling & Coordination

  • Assists with scheduling contents crews for pack-outs, pack-backs, and cleaning activities.
  • Coordinate with operations/production managers, Contents Manager, crew chiefs, subcontractors, and warehouse staff.
  • Track job progress and update internal systems accordingly.

Customer & Adjuster Communication

  • Serve as a point of contact for customers regarding contents questions and scheduling.
  • Communicate with insurance adjusters as needed to provide inventories, documentation, and updates.
  • Handle customer concerns professionally and escalate issues when necessary.

Inventory & Warehouse Support

  • Track contents locations (on-site, warehouse, off-site storage).
  • Maintain chain-of-custody records for customer belongings.
  • Assist with warehouse organization, labeling, and inventory accuracy.

Billing & Compliance

  • Assist with invoicing and billing support related to contents services.
  • Ensure compliance with SERVPRO standards, insurance guidelines, and company policies.
  • Support audits and quality control reviews.

Qualifications

  • High school diploma or equivalent required; administrative or business background preferred.
  • Previous SERVPRO or restoration industry experience strongly preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office and SERVPRO job management systems and estimating platforms (DASH, Xactimate, etc).
  • Forklift certification required (or ability to pass certification) within 30 days of hire.
  • Ability to handle sensitive situations and maintain confidentiality.
  • Detail-oriented with strong follow-through.
  • Spanish bilingual skills are a plus.
  • Must be able to successfully pass a background screening and drug test, in accordance with company policy and applicable law.

Physical & Work Environment Requirements

  • Ability to work in office and warehouse environments.
  • Occasional lifting (up to 25 lbs.) and standing/walking in warehouse or job sites.
  • Exposure to disaster sites (fire, water, mold) may occur.
