Operations Coordinator - Toronto Branch **ON-SITE**

We are looking for a motivated and passionate candidate to become part of our high paced, professional Team.


Position Overview:

The Operations Coordinator will be responsible for managing client interactions, tracking shipments, coordinating with various departments, and resolving any service-related issues. This role requires excellent organizational and communication skills, along with a strong understanding of freight forwarding processes.


Key Responsibilities:

  • Act as the main point of contact for all customer interactions, ensuring a responsive, professional, and customer-focused experience.
  • Proactively update clients on shipment status, potential delays, and other relevant information to maintain transparency and trust.
  • Coordinate and manage the end-to-end import and export processes for air, ocean and truck shipments, ensuring compliance with Canada Border Services Agency (CBSA), International Air Transport Association (IATA), International Maritime Organization (IMO), and other applicable regulatory bodies.
  • Prepare and review shipping documentation including air waybills, bills of lading, customs declarations, commercial invoices, certificates of origin, and other export-related documents in compliance with Canadian and international trade regulations.
  • Serve as the primary liaison for airlines, ocean carriers, customs brokers, trucking companies, and clients, maintaining regular communication to provide shipment updates and resolve any issues.
  • Monitor all inbound and outbound shipments to ensure on-time delivery, proactively addressing any delays, customs hold, or discrepancies across all transportation modes.
  • Oversee export booking arrangements, coordination with carriers, and timely submission of export declarations and permits (e.g., CAED/CCE for Canada).
  • Investigate and resolve claims related to cargo damage, shortages, or compliance issues, ensuring appropriate follow-up and documentation.
  • Ensure accurate data entry and maintain up-to-date shipment records in logistics software systems; process billing and invoicing in a timely manner.
  • Provide customized shipment status reports and documentation support to clients, sales, and internal stakeholders.
  • Contribute to the development and continual refinement of Standard Operating Procedures (SOPs) for both import and export operations.
  • Stay current with global logistics trends, trade regulations, and compliance updates to support process improvements and risk mitigation.
  • Deliver a high standard of customer service aligned with company values, fostering long-term client relationships.
  • Provide backup support for colleagues and alternate accounts as required.
  • Perform other duties and projects as assigned.
  • Must be able to perform essential job functions with or without reasonable accommodations.


Preferred Qualifications

  • 3–5 years of hands-on experience in international freight forwarding, with proven expertise in air, ocean, and export operations.
  • In-depth knowledge of Canadian customs procedures, IATA, IMO, and international trade/export regulations.
  • Strong proficiency in freight forwarding and supply chain management systems; advanced Microsoft Excel and Outlook skills.
  • Exceptional written and verbal communication skills; ability to communicate clearly with diverse stakeholders.
  • Detail-oriented with excellent time management, documentation accuracy, and multitasking abilities.
  • Analytical thinker with strong problem-solving skills and a proactive mindset.
  • Post-secondary education in Logistics, International Trade, Supply Chain Management, or a related field is preferred.
  • Certifications such as Certified Customs Specialist (CCS), CIFFA, or IATA qualifications are considered assets.
