Job Purpose:

The Client Service Operations Support role takes the lead in producing professional marketing, communications, and web design deliverables while also providing timely and accurate client service support to over 300 investors with proficiency in multiple relationship management and client portal tools. This position helps strengthen relationships with existing clients and supports new business development by delivering clear, engaging, and timely information to institutional investors.

The role partners closely with senior leadership, relationship managers, and investment personnel to execute an integrated program of marketing communications and client support in support of client retention and fundraising efforts. Success in this position requires creativity, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Client services activities include a consistent information services program to keep attuned to clients’ objectives and current needs. Position will interact on an ongoing basis with ASB’s senior management, investment management and finance teams as well as various levels at Chevy Chase Trust and B. F. Saul Company.

Duties & Responsibilities of the Client Service Operations Specialist:
  • Collaborate with team members to ensure effective communication with clients and prospects.
  • Manage Salesforce’s client contact data, market value uploads, generate routine and customized reports.
  • Plan and support logistics for industry conferences, client events, sponsorship registration, and exhibit materials.
  • Including accounting support for facilitating check requests, sponsorship billing, memberships, and journal subscriptions.
  • Coordinate procurement of print and presentation supplies, booth displays, and promotional items through external vendors.
  • Serve as the primary point of contact for the client services inbox, sorting and allocating inquiries, and resolving user portal issues with vendors State Street, Chevy Chase Trust.
  • Provide additional support for client services priorities as needed, in coordination with the Client Service Operations Coordinator and Group Head.
  • Act as backup to ensure all quarterly DDQ’s and RFIs are completed and distributed on schedule.
Job Requirements (Skills & Abilities) of the Client Service Operations Specialist:
  • 10 years’ experience in an administrative assistant capacity. 
  • Experience in investor relations, marketing, or communications organization.
  • Highly collaborative, goal-oriented, and motivated to deliver high-quality work.
  • Independent, self-learning in mastering new skills or knowledge without formal instruction.
  • Organized, proactive problem-solver with the ability to manage multiple deadlines.
  • Strong decision-making skills and comfort working in a dynamic environment.
  • Proficient and/or knowledgeable in Adobe InDesign, Photoshop, PowerPoint, Vimeo, WordPress, Constant Contact, Salesforce, Google Analytics, Microsoft Word, and Excel.
Education / Licenses / Certifications:
  • Bachelor’s Degree in related field preferred, but not essential.
The actual base pay offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, years of relevant experience, distinctive skills, level of education attained, certifications or other professional licenses held.  Base pay is one component of ASB Investment Management's total compensation package, which also includes access to or eligibility for healthcare benefits, a 401(k) plan, short-term and long-term disability coverage, basic life insurance, bonus plans and more.
