Excelsior Family Medicine is seeking a Front Office Supervisor to lead our patient access and front office team in delivering a welcoming, efficient, and high-quality experience for patients and families.


Excelsior Family Medicine is an established clinic of 10 providers working in a cross-disciplinary team to address patient needs. Our dedicated providers encourage patients to engage in both their physical and mental health, and we are proud to support this through integrated primary care and behavioral health services.


The Front Office Supervisor plays a key role in overseeing daily front office operations and is a highly proficient user of the Epic EHR. Oversight responsibilities include team member completion of patient scheduling, registration, patient flow, customer service, and team productivity. This position supervises Front Desk Associates, promotes operational excellence, and works closely with providers, clinical staff, and leadership to ensure a seamless patient experience while supporting the clinic's mission of whole-person integrated care.

Required Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred.
  • Minimum three (3) years of experience in a medical office, healthcare operations, patient access, scheduling, registration, or related setting.
  • Minimum one (1) year of supervisory, lead, or team coordination experience.
  • Working knowledge of electronic medical record (EMR/EHR) systems and standard office software.
  • Ability to pass a criminal background check, per agency standards.
  • Valid driver's license and acceptable driving record, per agency standards.
    • New employees with out-of-state licenses must obtain a Washington State driver's license within 30 days of employment.


Core Responsibilities

  • Supervise and support Front Desk Associates, including scheduling, training, coaching, and performance management.
  • Oversee daily front office operations, ensuring efficient patient scheduling, registration, check-in/check-out, and customer service processes.
  • Monitor patient access workflows and implement improvements to enhance patient experience, operational efficiency, and service quality.
  • Ensure compliance with agency policies, HIPAA requirements, and applicable operational standards.
  • Maintain accurate documentation, records, and data entry within the EMR/EHR system and ensure timely completion of front office tasks.
  • Attend and actively participate in required meetings, trainings, and quality improvement activities.
