Job description

Customer Service and Invoicing Coordinator
Position Summary
The Customer Service and Invoicing Coordinator supports member agencies by maintaining accurate agency records, assisting with order processing, invoice printing, and reporting needs, coordinating communications, and providing administrative support to Agency Services & Programs. This role also helps ensure smooth daily office operations through mail processing, front desk coverage, and other clerical support as needed.
Key Responsibilities
  • Maintains and updates all member agency information per Macola and hard files.
  • Assists Agency Services & Programs Supervisor with management of agencies and coordinating all relevant mailings.
  • Provides technical assistance and support to agencies related to order processing, reporting requirements, and record keeping.
  • Provides backup for the various stages of product distribution to member agencies including order taking, production of picking tickets, applying grant applications to invoices, printing invoices, etc.
  • Provides additional clerical and administrative support for office as required or requested by supervisor.
  • Responsible for maintenance on the copy and postal machine.
  • Responsible for getting mail sent out daily and coding by department.
  • Responsible for making agency visits and complying with the rules and regulations set forth by Feeding America and Community Harvest Food Bank.
  • Provides front desk coverage during receptionist breaks and absences as assigned.
  • Maintains a clean and orderly office environment.
  • Maintains a neat, clean, and professional appearance at all times.
  • Assist in other areas of the food bank as assigned.

This list is not all-inclusive and other duties may be assigned.
Professional Requirements
  • Valid IN driver's license, current insurance, reliable transportation, and be willing to travel.
  • Ability to address member agency concerns through effective customer support approach
  • Ability to complete work in an accurate, effective and timely manner
  • Ability to handle high volume of work in short periods.
  • Must have the ability to work with a diverse group of staff and volunteers
  • Must be able to read, comprehend and write in English at a high school level
  • Must be able to consistently and correctly perform basic math skills at a high school level
  • Must be able to perform basic computer tasks
  • Must have excellent oral communications skills
  • Must have a pleasant, team-oriented personality and be able to work in an unsupervised environment
  • Must be willing/able to work overtime and weekends as requested

Educational Requirements:
  • Associate's degree with at least two years of experience is desired.
  • Minimum of one year experience in office support environment including data entry, processing, and customer support.
