We are seeking an experienced part-time administrative assistant for an on-site manager property near Belton, MO. The part-time Administrative Assistant is responsible for the quality completion of all administrative tasks and projects at their assigned association and work with the on-site manager. This position requires interaction with colleagues, homeowners, vendors, and the Association Board of Directors.

General Administrative Responsibilities Include, but are not limited to:

  • Communicate with on-site manager on all issues and concerns by residents and assist manager as directed.
  • Answer phones and follow up with resident on concerns. Log all calls and track closed and unclosed items.
  • Scheduling all functions as well as meeting with the residents to review the contracts and guideline checklists.
  • Ability to maintain and update Excel spreadsheets for several projects.
  • Coordinating community newsletters, mailings, and communication. Posting and updating community website.
  • Help the HOA go electronically with all past files and daily communications.
  • Special Projects for Committees and Board Members as required.
  • Work side by side with on-site manager and onsite maintenance personnel.

Applicants Must:

  • Exceptional communication and customer service skills.
  • Detail oriented with great organizational skills with a can-do positive attitude.
  • Computer skills required in MS Word, Excel, PowerPoint, Publisher and Outlook.
  • Ability to multi-task in a fast-paced environment with little supervision.
  • Ability to maintain a strong rapport with homeowners, board members, vendors and staff.
  • Need candidate to be energetic and flexible.
  • Able to work evenings and/or weekends on rare occasions. Typical work schedule will be part-tim hours between 7-4, Monday โ€“ Friday.
  • Must be able to interact seamlessly with people of all demographics.
