JOB DESCRIPTION SUMMARY

Responsible for creation of special populations managed by the Registrar's Office, including exchange, consortium, non-degree, and registration for those populations as required. Responsible for coordination of all project registrations and recording of completion of degree requirements. Creates and registers all independent studies. Coordinates and communicates with the Global Experience Office regarding Project Centers. Assists with incoming phone calls and email inquiries daily. Provides backup for in-person front desk operations and serves as secondary contact for work study students. Maintains status as secondary Veterans Affairs Certifying Official.

JOB DESCRIPTION

  • Support students, faculty, and staff with all aspects of the three required undergraduate projects: Interactive Qualifying Project (IQP), Major Qualifying Project (MQP), and Humanities and Arts Seminar or Practicum (HU 3900/3910), including:
    • Maintaining an in-depth knowledge and comprehension of the WPI eProjects system and the student information system, along with related WPI policy and practices
    • Registering all Humanities and Arts projects
    • Creating and registering IQPs and MQPs throughout the academic year
    • Recording completion of degree requirements (CDRs) for these three projects
    • Communicating with the Global Experience Office regarding Project Center IQP rosters
    • Communicating with students and Project Advisors regarding credit to be registered for projects
    • Providing input on procedural enhancements for processes related to undergraduate projects and recommending changes as needed
  • Assist students and faculty with in-depth inquiries by:
    • Answering phone calls daily
    • Replying to tickets created by email inquiries
    • Providing back-up counter support and support in other areas of the office when needed
    • Assisting with add/drop during the beginning of the terms
  • Assist Non-degree seeking students and Higher Education Consortium of Central Massachusetts (HECCMA) students from surrounding universities by registering forms for both outgoing WPI students and incoming students from surrounding universities that are part of the HECCMA program.
  • HECCMA duties:
    • Creating incoming HECCMA students
    • Communicating with other HECCMA programs
    • Providing data as needed regarding consortium
    • Inputting final semester grades for both incoming and outgoing HECCMA students to the respective university
  • Non-degree duties:
    • Reviewing non-degree student registration forms
    • Creating non-degree students
    • Communicating account and registration information to non-degree students
  • Support students interested in taking Independent Studies throughout the academic year by:
    • Reviewing Independent Studies submitted by students to make sure they are filled out and signed
    • Creating Independent Studies in Workday
    • Registering Independent Studies in Workday to reflect what the student submitted through our form
    • Communicating with the Robotics Engineering and Biomedical Engineering departments for approval of Independent Studies
  • Support students receiving Veterans Affairs benefits by:
    • Maintaining school certifying official (SCO) status and providing back up to the primary SCO
    • Staying current with VA regulations
  • Performs all other duties and responsibilities as assigned or directed by the supervisor.

Qualifications:

  • Associate degree required; Bachelor's degree preferred
  • Two years of experience with student information systems; Workday preferred
  • Previous experience within an academic records environment or equivalent experience preferred

The hourly rate for this position is up to $24 per hour, depending on experience, for a full time schedule of 37.5 hours per week.
