Senior Project Coordinator – IT PMO

Location: New York City (Hybrid - mostly remote)

Employment Type: Contract


Job Summary

We are seeking a highly organized Senior Project Coordinator to support the Enterprise Project Management Office (PMO) for a large healthcare organization.

This position will provide day-to-day coordination for multiple enterprise technology projects supporting both clinical and non-clinical business initiatives.

The successful candidate will work closely with Project Managers, business stakeholders, technical teams, vendors, and executive leadership to coordinate meetings, maintain project documentation, prepare executive presentations, track project activities, and help ensure successful project execution.

This is not an administrative assistant role. We are looking for someone who understands IT projects and can effectively support project delivery within a fast-paced PMO environment.


Responsibilities

  • Coordinate multiple enterprise technology projects simultaneously.
  • Schedule project meetings, steering committee meetings, and executive status meetings.
  • Prepare meeting agendas and capture detailed meeting minutes, action items, and decisions.
  • Maintain project schedules, action item logs, RAID logs, and project documentation.
  • Prepare executive PowerPoint presentations, dashboards, and status reports.
  • Track project milestones, deliverables, and dependencies.
  • Coordinate communication among business, clinical, technical, and vendor teams.
  • Follow up with project teams to ensure completion of assigned action items.
  • Support project governance processes and PMO reporting standards.
  • Maintain project documentation using PMO templates and collaboration tools.
  • Assist Project Managers with implementation planning, deployment coordination, and project closeout activities.


Required Qualifications

  • Bachelor's degree or equivalent experience.
  • 3–7 years of Project Coordinator, PMO Coordinator, Project Analyst, or related experience.
  • Experience supporting multiple IT or business projects simultaneously.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Experience preparing executive-level PowerPoint presentations.
  • Experience documenting meeting minutes, project status reports, and project documentation.
  • Ability to communicate effectively with executive leadership, business stakeholders, and technical teams.
  • Strong attention to detail.


Preferred Qualifications

  • Experience supporting an Enterprise PMO.
  • Healthcare industry experience preferred.
  • Experience supporting enterprise software implementation projects.
  • Familiarity with project management methodologies (Waterfall, Agile, or Hybrid).
  • CAPM certification is a plus.
