Position Summary

The Senior Program Manager leads Meditology's Project/Program Manager team on a day-to-day basis. The role is accountable for the PM team, client project health, project management, and client reporting, and serves as the primary escalation point for client-facing project management issues. It oversees Meditology's internal project management function, providing governance, structure, and schedule accountability for internal initiatives and product delivery projects. On the product side, this role partners with the Product Management and Technology team to ensure milestones are planned, dependencies are visible, commitments are tracked, risks, and slippage is surfaced early. The Senior Program Manager partners closely with Sales, Services/Delivery, and Product and Technology leaders to ensure client satisfaction, retention, account growth, and predictable internal delivery.


Key Responsibilities

• Lead day-to-day operations of the Project/Program Manager team across both the client-facing and internal projects, including workload balancing, prioritization, RACI byb project levels, and quality of delivery

• Own and manage Meditology's key and Tier 1 strategic client relationships and projects end-to-end, from planning through completion

• Report on client OKRs, project progress, risk, and overall client health to the Sr Director, PMO/Operations on a regular cadence

• Mentor, coach, and develop Client Project/Program Managers and Client Project Coordinators, including onboarding and performance feedback

• Standardize and continuously improve client reporting templates, status cadences, and escalation paths across the client portfolio

• Partner with Services project teams on client health checks, Strategic Business Review’s (SBR’s), renewal risk, and expansion opportunities

• Identify, track, and resolve project risks and issues; escalate appropriately when client relationships or delivery timelines are at risk

• Support resourcing and staffing decisions for client engagements in partnership with the Sr Director, PMO

• Contribute to PMO-wide process, tooling, and governance initiatives as a senior voice across both client delivery and internal delivery

• Identify opportunities to improve project delivery through process optimization, standardization, governance, and adoption of PMO best practices

• Drive corrective action plans resulting from client health reviews, ensuring timely resolution of identified issues and continuous improvement in client satisfaction and account health

• Own oversight of Meditology's internal project management function, bringing the same planning discipline, governance, and delivery standards applied to client engagements

• Establish and maintain intake, prioritization, and status reporting standards for internal initiatives so that leadership has a single current view of internal work in flight

• Partner with Finance to ensure revenue producing milestones are accurately governed and reported

• Partner with the Product and Technology team to govern product delivery timelines, including milestone planning, dependency tracking, and release commitment reporting; this role governs and reports on schedule and does not own product scope, roadmap, or feature priorities

• Facilitate the recurring governance cadence for internal and product initiatives, including milestone reviews, dependency checkpoints, decision logs, and documented action items

• Surface risks, schedule slippage, resource conflicts, and cross-team dependencies to initiative owners and the Sr Director, Operations early enough to act, with recommended recovery options

• Maintain internal project artifacts, including plans, RAID logs, and Smartsheet tracking, so that internal and product commitments remain current, auditable, and reportable to leadership

• Align PMO standards, templates, and tooling across the client-facing and internal portfolios so that both operate from a consistent governance model

Requirements:

Required Qualifications

• 7–10 years of project management experience, including 3 to 5+ years managing complex or high-visibility client engagements

• Demonstrated experience leading or mentoring other project managers or coordinators

• PMP (Project Management Professional) certification required

• Experience in healthcare, healthcare IT, or professional/consulting services strongly preferred

• Proficiency with project management and collaboration tools (e.g., Jira, Smartsheet, Microsoft Project)

• Bachelor's degree in business, healthcare administration, information systems, or a related field, or equivalent professional experience

• Knowledge of Smartsheet, HubSpot software solutions are a plus

• Experience governing internal or cross-functional programs, including establishing intake, prioritization, and executive status reporting standards

• Experience coordinating delivery timelines with product, engineering, or technology teams, including familiarity with agile or sprint-based delivery cadences

Physical Requirements:

This position operates in a remote/home office environment and involves primarily sedentary work.

• Ability to remain in a stationary position (sitting or standing) for extended periods, typically at a computer workstation

• Frequent use of hands and fingers to operate a computer keyboard, mouse, and other office equipment

• Ability to communicate effectively via phone, video conferencing, and in writing

• Visual acuity sufficient to read documents and view a computer screen for extended periods

• Occasional travel to client sites may be required, including the ability to sit for extended periods during travel and transport standard business materials (e.g., a laptop bag, up to approximately 15–20 lbs)
