Inventory & Asset Control Specialist ( Not to Exceed 9 Months)

Department: Maintenance

Reports To: Senior Maintenance Manager

Status: Non-Exempt | Full-Time (40 hours/week)

AMP Assignment: 47/50/3


Position Summary

The Inventory Control Clerk is responsible for maintaining accurate inventory control and tracking systems for maintenance materials, supplies, equipment, and appliances. This position supports efficient maintenance operations by ensuring materials are properly received, stored, issued, and documented in accordance with Housing Authority policies, procurement standards, and applicable regulations.


The role requires strong attention to detail, organization, accountability, and the ability to support a fast-paced maintenance environment.


This position is a temporary appointment not to exceed nine (9) months. Continued employment beyond this period may be considered based on operational needs, funding availability, and performance.


Essential Duties and Responsibilities

  • The following duties represent the primary functions of the position and are not intended to be all-inclusive:
  • Maintain accurate inventory records for maintenance supplies, equipment, tools, and appliances
  • Receive, inspect, and verify incoming shipments against purchase orders and packing documentation
  • Organize and store inventory in a safe, secure, and accessible manner within warehouses and storage areas
  • Issue materials, tools, and equipment to maintenance staff and track usage and distribution
  • Monitor inventory levels and communicate reorder needs to appropriate staff
  • Assist with procurement processes in accordance with agency purchasing policies and thresholds
  • Conduct routine cycle counts and annual physical inventories; investigate and reconcile discrepancies
  • Maintain inventory tracking systems (manual and/or electronic, including Yardi or similar systems)
  • Track appliances (e.g., refrigerators, stoves, water heaters), including condition, location, and repair/replacement status
  • Support inventory tracking related to unit turns, work orders, and preventive maintenance programs
  • Prepare inventory reports related to usage, cost analysis, and stock levels
  • Ensure compliance with safety standards, internal controls, and procurement requirements
  • Maintain clean, organized, and secure warehouse and storage areas
  • Assist with surplus property handling, disposal, and recycling in accordance with policy
  • Support maintenance staff by locating and staging materials, parts, and equipment as needed
  • Assist with upkeep and organization of maintenance annex and storage facilities
  • Perform other related duties as assigned

Requirements:

Minimum Qualifications

  • High school diploma or equivalent (G.E.D.) required
  • Minimum of one (1) year of experience in inventory control, warehouse operations, maintenance support, or a related field
  • Valid driverโ€™s license and ability to be insured under the Authorityโ€™s vehicle policy, if applicable
  • Ability to successfully complete required background, drug/alcohol, and driving record screenings

Preferred Qualifications

  • Two (2) or more years of experience in inventory control or materials management
  • Experience in public housing, property management, or a governmental environment
  • Familiarity with Yardi or similar inventory/property management systems
  • Basic knowledge of maintenance materials, appliances, and tools used in residential housing operations
