The program will modernize processes, strengthen stewardship, and enable better service worldwide.
Lead the end-to-end operational planning and production of Elevate's executive-facing events and media experiences, including roadshows, town halls, recordings, podcasts, and leadership messages. You will drive logistics, audio/visual coordination, recording and post-production workflows, and executive preparation to ensure communications are delivered with excellence, clarity, and consistency. This role will also serve as a key liaison across ICS, PSD, and partner teams to keep critical engagements on track and aligned to Elevate priorities.
Bachelor's degree in Communications, Marketing, Event Production, Media Production, Business, Organizational Communications, Project Management, or a related field.
Must have 6 or more years of related professional work experience. Preferably in event management, production operations, executive communications, or related program/project management roles.
- Strong project management skills, with demonstrated ability to manage multiple complex workstreams, timelines, stakeholders, and deliverables simultaneously.
- Experience coordinating audio/visual production for live, hybrid, or virtual events.
- Experience working with senior executives in preparing scripts, coaching presentations, and supporting recordings or live events.
- Excellent written and verbal communication skills, including strong executive presence and the ability to communicate clearly under pressure.
- Proven ability to build strong relationships across functions and influence without direct authority.
- Highly organized, proactive, and detail-oriented, with a strong sense of ownership and follow-through.
Preferred
- Experience working with video files, recording workflows, post-production coordination, or digital content delivery.
- Graphic design experience, including presentation design or visual asset development.
- Experience with enterprise collaboration and planning tools such as Azure DevOps, SharePoint, Teams, or similar platforms.
- Background supporting large transformation programs, internal communications, or change management efforts.
- PMP, CAPM, Scrum, Agile, or similar project management training/certification.
- Experience working in matrixed environments with executive stakeholders, IT, production teams, and external vendors.
Strategy & Ownership
- Own the operational strategy and execution model for Elevate events, recordings, and executive communications support.
- Build and maintain repeatable planning processes for roadshows, town halls, leadership recordings, and other high-visibility engagements.
- Translate business needs into detailed project plans, timelines, dependencies, and production requirements that ensure consistent delivery and quality.
- Serve as the subject matter expert for Change Management operations, logistics, and production support.
Event Production, Logistics & Delivery
- Lead end-to-end logistics for Elevate roadshows and key events, including travel coordination, venue setup, room readiness, translation/localization needs, printing, audio/video testing, and remote event management.
- Manage event run-of-show documents, production checklists, technical rehearsals, and day-of execution to ensure a polished participant experience.
- Coordinate with internal and external partners to ensure all event elements are delivered on time and at the expected level of quality.
- Track operational deliverables and provide regular updates on status, risks, and mitigation actions to leadership.
Audio/Visual, Recording & Post-Production
- Oversee audio/visual planning and execution for town halls, roadshows, recordings, and other Elevate events.
- Partner with content teams to produce high-quality videos, podcasts, recordings, and digital engagement assets.
- Manage post-production workflows, file handoffs, version control, and quality review to ensure final outputs are accurate, polished, and timely.
- Support graphics, presentation visuals, and related media development; experience with video files and graphic design is strongly valued.
Executive Support & Communications Coaching
- Partner directly with senior leaders to prepare scripts, talking points, recordings, and presentations for major Elevate engagements.
- Provide executive-facing support during rehearsals and recordings, including coaching on flow, timing, messaging clarity, and delivery.
- Ensure senior leaders are well prepared, confident, and supported in high-visibility communication moments.
- Communicate clearly, professionally, and proactively with executives and stakeholders across the initiative.
Stakeholder Management & Liaison Leadership
- Build strong working relationships with ICS, PSD, Change Influencers, and other partner teams through regular engagement and proactive follow-up.
- Serve as a key liaison with ICS leadership to support planning for town halls, kickoff events, and other major engagements.
- Partner with PSD to align annual audio/visual planning, request intake, turnaround expectations, and event support processes.
- Surface stakeholder feedback, concerns, and recommendations to Elevate leadership in a timely and actionable way.
Project Management & Operational Excellence
- Complete assigned deliverables, work items, and tasks within Azure DevOps with high on-time performance and minimal rework.
- Maintain clear visibility into project status, dependencies, and risks across operational and production workstreams.
- Identify issues early, drive corrective action, and ensure leadership is never surprised by avoidable risks.
- Lead continuous improvement efforts to strengthen event operations, production workflows, and stakeholder experience.
