Position Title: Facilities CoordinatorCore Purpose:

Ensure seamless operation and maintenance of commercial and retail properties by coordinating facilities management activities, managing vendor relationships, responding to service requests, and maintaining high standards of safety, compliance, and customer service while creating exceptional workplace experiences for building occupants and tenants.

Key Responsibilities:Vendor & Service Management
  • Manage vendor relationships and service contracts, ensuring quality delivery, compliance with specifications, and cost-effective procurement
  • Provide guidance to service vendors for completing repairs, upkeep, supply ordering, and general services following contract terms
  • Assist service providers with office and security badge access, work scheduling, and client coordination
  • Consult in quarterly business reviews on applicable contract service providers
Maintenance & Building Operations
  • Coordinate preventive maintenance programs and repair activities across building systems including HVAC, electrical, plumbing, and life safety equipment
Work Order & Request Management
  • Daily monitoring of open and pending work orders with review and reporting as directed
  • Respond promptly to tenant/occupant service requests and facility issues, coordinating with appropriate teams to resolve problems and maintain high satisfaction levels
  • Responsible for ergonomic work order administration and process execution
Space Management & Coordination
  • Support space planning and move coordination activities, ensuring seamless transitions for new tenants and existing occupant relocations
  • Support space allocation verification of occupied and vacant seating
  • Assist with Moves, Adds and Changes requests including furniture reconfiguration and re-stacking
Financial & Administrative
  • Prepare accurate and timely vendor invoicing to ensure proper payments following company vendor management and accounts payable policies
  • Maintain inventory management systems for supplies, equipment, and spare parts while ensuring cost optimization and availability
  • Prepare reports and documentation for property managers and clients, including maintenance summaries, vendor performance metrics, and budget tracking
  • May consult on operating budgets including variance explanations for remote corporate locations
Data & Records Management
  • Maintain property databases of changes in address, ownership, and emergency contacts
  • Build and maintain relationships with CRE staff, vendors, and office staff requesting facility services
Emergency & Safety
  • Assist with emergency response procedures and coordinate with security, fire safety, and building management teams during critical incidents
Sustainability
  • Collaborate with sustainability initiatives including energy management programs, waste reduction efforts, and green building certification maintenance
Required Qualifications:Education
  • Minimum: High school diploma or GED
  • Preferred: Associate degree in Facilities Management, Engineering Technology, or related field
Experience
  • Minimum: 1 year of Facility Management experience OR 3 years of related experience in customer service or administrative environment
  • Preferred: 2+ years of commercial facilities or property management experience
Technical Skills
  • Strong understanding of building systems including HVAC, electrical, plumbing, and fire safety equipment with basic troubleshooting capabilities
  • Proficiency in computerized maintenance management systems (CMMS) and Microsoft Office Suite
  • Willingness to learn project planning software and building technology platforms
Soft Skills
  • Excellent communication and customer service skills with ability to interact professionally with tenants, vendors, and internal stakeholders
  • Professional phone etiquette and ability to ask questions for problem solving and conflict resolution
  • Strong organizational and multitasking abilities with proven track record of managing competing priorities in fast-paced operational settings
  • Ability to solve moderately complex problems with composure and professionalism

  • 4+ years of progressive facilities management experience in commercial real estate with exposure to Class A office buildings or mixed-use properties
  • Professional certifications such as FMP (Facility Management Professional) or CFM (Certified Facility Manager)
  • Experience with energy management systems, sustainability programs, and green building operations including LEED or ENERGY STAR certification processes
  • Knowledge of project management principles and experience coordinating tenant improvement projects or capital improvements
  • Familiarity with IoT building technology, smart building systems, and data analytics platforms
  • Previous experience with budget management, vendor negotiations, and cost control strategies
