Job Summary: The Collateral Management Specialist plays a vital role in maintaining the integrity and accuracy of mortgage collateral documentation throughout its lifecycle. This position is responsible for receiving, validating, tracking, and securely storing sensitive documents while ensuring compliance with investor and regulatory requirements. The ideal candidate is highly organized, detail-oriented, and skilled in cross-functional collaboration and professional communication.

Key Responsibilities:

  • Receive, log, and validate incoming collateral documents for completeness and accuracy.
  • Track and resolve missing or incorrect documentation through proactive communication with internal teams and external partners.
  • Maintain accurate records of collateral files in both physical and digital formats.
  • Ensure timely and secure storage of documents in accordance with company policies and regulatory standards.
  • Collaborate with servicing, legal, and investor relations teams to resolve document-related issues.
  • Support internal and external audits by preparing and delivering requested documentation.
  • Communicate professionally via email and other channels to provide updates and follow up on outstanding items.
  • Identify and understand key mortgage documents such as Notes, Deeds of Trust, Assignments, and Title Policies.
  • Contribute to the development and enhancement of document tracking processes and systems.

Qualifications:

  • Experience in mortgage servicing, collateral/document management, or a related field.
  • Strong knowledge of mortgage collateral documentation and compliance requirements.
