Job description

Description: Perform duties to provide secretarial assistance to the Human Resources department

Job Summary:

  1. Greet visitors, answer incoming telephone calls, provide appropriate information or take messages, and refer to appropriate staff.
  2. Plan, organize, maintain, and update a variety of files, communications, records, and databases.
  3. Prepare correspondence, reports, documents, and memos working from notes and direction. Compose routine correspondence on own.
  4. Review, complete, and process verification of employment and subpoena requests.
  5. Prepare Board of Education meeting documents and reports.
  6. Prepare, maintain, and communicate job postings.
  7. Serve as the primary point of contact for substitute questions and paperwork processing.
  8. Review and process absence exceptions that require HR administration approval (e.g., family-leave day and excused without pay).
  9. Complete fingerprint based criminal background checks, process and file the results.
  10. Manage and maintain the ID badge program, the annual ID badge rollover, and ongoing building ID badge needs.
  11. Support the student teacher onboarding process.
  12. Manage the district tutor list.
  13. Provide general secretarial assistance to departmental staff: copying, filing, distributing mail, faxing, data entry, verifications of employment, and labeling.
  14. Serve as back-up to the reception desk as needed.
  15. Use personal computer and general office equipment.  Demonstrate proficiency using the technology and computer-based programs provided by the District. Use these programs to effectively manage and organize files, communication, records, and databases.

 Perform other duties as assigned.
