Job description

The Jamestown S’Klallam Tribe is seeking a dependable, organized, and customer-focused SCS Administrative Coordinator to join our Social and Community Services Department!

The SCS Administrative Coordinator provides administrative, front reception, and customer service support for the SCS Department. This position coordinates day-to-day administrative office functions and supports department leadership and staff in maintaining efficient, organized, and welcoming operations.

This is a great opportunity for an experienced administrative professional who enjoys working with people, staying organized, supporting a team, and making a meaningful contribution to the community.

Schedule

32 hours per week | Monday–Thursday | 8AM–4:30 PM with a 30 minute lunch break.

Essential Functions

  • Provide high-quality customer service to Tribal citizens, clients, government agencies, partner organizations, and the public who visit, call, or email the SCS Department. Greet visitors, answer phones, respond to general SCS-related questions, and direct individuals to the appropriate staff member or program.

  • Assist with opening and closing procedures for the department and help ensure day-to-day administrative office functions run smoothly.

  • Support general office operations, including monitoring office equipment needs, submitting repair or maintenance requests, maintaining equipment inventories, and communicating identified equipment or operational needs to management.

  • Maintain inventory and supply levels for general SCS office and business needs by monitoring stock, identifying needed supplies, placing approved orders, and verifying receipt of supplies.

  • Maintain the cleanliness, organization, and stocking of shared department spaces, including meeting rooms, reception areas, supply areas, and the staff kitchen.

  • Run department errands as assigned, including picking up and delivering mail, supplies, and other approved items.

  • Provide basic troubleshooting assistance for office technology and equipment, including printers, copiers, and phones, and coordinate with Information Technology for issues requiring additional support.

  • Provide administrative support for new employee onboarding as assigned, including preparing materials, coordinating administrative setup, and ordering approved business materials such as business cards.

  • Assist staff with preparing and updating outreach materials, flyers, newsletters, forms, event materials, and other department communications using Microsoft Office, Canva, and other approved software.

  • Coordinate and support department meetings, conferences, trainings, and staff events, including scheduling, room reservations, setup, approved purchases, accommodations, refreshments, correspondence, calendars, agendas, materials, and meeting minutes as assigned.

  • Provide administrative support to the Director and Managers, including calendar coordination, travel arrangements, meeting preparation, and confidential correspondence as assigned.

  • Assist with physical setup and cleanup for department programs and events, including moving supplies, setting up canopies, transporting boxes and materials, and other related tasks. Must be able to lift and carry up to 50 pounds.

  • Maintain confidentiality and exercise appropriate discretion when handling client, employee, Tribal, and department information.

  • Adhere to all Jamestown S'Klallam Tribe policies and procedures, including established safety standards and work practices described in the Occupational Exposure Control Plan.

  • Perform other administrative duties as assigned and under the guidance and direction of SCS management.

Requirements

  • High School Diploma or equivalent

  • Two (2) years of administrative or related experience

  • Exceptional interpersonal skills including effective verbal and written communication

  • Excellent organizational skills and the ability to prioritize multiple tasks

  • Effective time management, decision-making, and problem-solving skills

  • Demonstrate initiative, work independently with little supervision

  • Computer proficiency in Microsoft Programs including Word, Excel, Power Point, Publisher, Teams, and Outlook

  • Valid Driver’s License

  • Must be able to successfully pass criminal background investigation

Preferred Qualifications

  • Associate’s degree preferred

  • Basic knowledge of social and community services as well as Tribal community is desired

  • Knowledge of office administrative operations, including personnel management, and compliance

  • American Indian/Alaska Native preferences apply

Physical Requirements/Working Conditions

  • Must be available to work any shift (to include all hours, weekends, and/or holidays as job duties require)

  • Must be able to lift, push and carry up to 50 lbs. unassisted

  • Physical ability to access all areas of the property applicable to your position

  • Must be able to withstand prolonged standing, sitting, walking, bending, climbing, squatting, and twisting without restriction

  • Requires eye/hand coordination and manual dexterity; ability to distinguish letters, numbers, and symbols

  • Must have the ability to reach at or below/above shoulder level on a continuous basis

  • Must be able to work in a fast-paced, busy, and somewhat stressful environment and maintain physical stamina, a proper mental attitude while dealing effectively with customers, management, team members, and outside contacts while working under pressure and meeting deadlines
