About the Role

Eden Health Clubs is seeking a friendly, organized, and proactive Front Desk Coordinator to be the welcoming face of our new wellness community. You'll play a vital role in ensuring exceptional member experiences by managing day-to-day front desk operations, assisting members, and supporting the team with administrative tasks.

Your Responsibilities

Client Experience & Concierge Service

  • Greet every client and guest warmly, professionally, and by name whenever possible
  • Deliver a polished, welcoming, concierge-level experience from arrival to departure
  • Manage check-ins, check-outs, and room flow smoothly and efficiently
  • Handle client questions, concerns, and requests with urgency and care
  • Maintain a calm, confident presence during busy periods

Sales Support & Revenue Contribution

  • Support in-studio sales by:
  • booking next appointments before clients leave
  • reinforcing service recommendations
  • confidently discussing offers, memberships, and promotions
  • Follow established scripts and SOPs for sales support and handoffs
  • Identify opportunities for upgrades, retail add-ons, and referrals
  • Escalate high-value or complex sales conversations to management promptly

Speed to Lead & Follow-Up Execution

  • Respond to new leads, calls, texts, and inquiries quickly and professionally
  • Meet same-day follow-up standards for all assigned leads
  • Book consultations, trials, and services with accuracy and confidence
  • Execute follow-up tasks exactly as outlined in SOPs (no dropped leads)

Referral Program Execution

  • Confidently explain the referral program to members and guests
  • Ask for referrals at designated moments using approved scripts
  • Capture referral details accurately in the system
  • Ensure referral rewards are tracked and fulfilled correctly

Cleanliness, Presentation & Studio Standards

  • Maintain front desk, retail, and common areas to premium cleanliness standards
  • Follow daily and shift-based cleaning checklists
  • Ensure retail displays are organized, stocked, and presentable
  • Flag supply shortages or maintenance needs immediately

Systems, Accuracy & Accountability

  • Accurately manage booking systems, POS, notes, and client records
  • Follow all SOPs for scheduling, payments, cancellations, and escalations
  • Communicate clearly with managers and team members to ensure seamless handoffs
  • Support audits, reporting, and daily execution standards

What You Bring to Eden

  • Minimum of 2+ years in a Med Spa setting, with prior front desk experience.
  • Bachelor's degree is preferred, particularly in a related field such as health sciences, wellness, fitness, or nutrition. Additional training or certification in aesthetics is a plus.
  • Familiarity with Zenoti or similar software platforms is required.
  • Ability to work Saturdays.
  • A friendly, approachable demeanor with outstanding communication skills.
  • Strong ability to juggle multiple tasks and resolve issues effectively in a start-up environment.
  • Meticulous attention to detail and organizational skills to ensure seamless operations.
  • Genuine enthusiasm for health, wellness, and exceptional client experiences.
  • A positive attitude paired with a strong sense of responsibility and accountability.
  • Familiarity with skincare products, aesthetic procedures, wellness treatments, and/or medical terminology is advantageous.
