Job description

Position Summary
The Admin Assist schedules appointments, gives information to callers, takes dictation, and otherwise relieves managers of clerical work and minor administrative and business detail.
Job Duties and Responsibilities
  • Reads and routes incoming mail and locates and attaches appropriate file to correspondence to be answered by employer
  • Organizes and maintains file system, and files correspondence and other records
  • Answers and screens manager's telephone calls, and arranges conference calls
  • Coordinates manager's schedule and makes appointments
  • Greets scheduled visitors and conducts to appropriate area or person
  • Arranges and coordinates travel schedules and reservations
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings
  • Makes copies of correspondence or other printed materials
  • Orders and maintains supplies, and arranges for equipment maintenance
  • Takes dictation in shorthand or by machine and transcribes notes on computer, or transcribes from voice recordings

Position Requirements
  • High School Diploma or GED
  • 1 year of experience in administrative or customer service role
  • Strong written and verbal communication skills
  • Strong attention to detail and organizational skills

Preferred Requirements
  • AA or College degree

Pay
This is an hourly position with wages starting at $23.50 and pays up to $31.75, based on experience and qualifications.
