Job description

Title: Project Coordinator
Location: Alameda, CA
Duration: 12 Months
Shifts: 8AM TO 4:30PM
100% Onsite
Summary:
The Project Coordinator will provide administrative support for the ADC Product Lifecycle Management (PLM) transformation program. This role will support the PMO Project Lead by coordinating project activities, scheduling stakeholder sessions across cross-functional teams and tracking project activities across multiple workstreams.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced implementation environment while supporting a large-scale enterprise transformation.
Key Responsibilities:
  • Schedule project meetings, workshops, testing sessions, and stakeholder engagements.
  • Coordinate meeting schedules, onsite workshop logistics, facility arrangements, and related support activities.
  • Prepare meeting minutes, action item trackers and weekly PMO status reports.
  • Maintain project documentation and stakeholder lists within SharePoint and other collaboration tools.
  • Assist with stakeholder communications, distribution lists, project announcements, and follow-up activities
  • Support business readiness activities as requested
  • Maintain workshop communications, attendance records, and stakeholder participation logs.

Qualifications
  • Associate or bachelor's degree in business administration, Project Management, or a related field preferred.
  • 2+ years of project coordination, project administration, or program support experience.
  • Strong proficiency with Microsoft Teams, Outlook, PowerPoint, Excel, Word, and SharePoint.
  • Excellent organizational, communication, and documentation skills.
  • Ability to manage multiple competing priorities and deadlines.
  • Experience supporting cross-functional business, Quality, or IT projects preferred.
  • Smartsheet experience preferred.

Preferred Experience
  • Experience with Quality Systems or enterprise software implementation projects.
  • Experience working in a regulated MedTech, medical device, healthcare, or life sciences environment.
  • Experience supporting large-scale business transformation or system implementation programs.
