School Administrative Assistant/Secretary
Full-time Position

Description

The school atmosphere is influenced by the school secretary and the aptitude for promoting effective communications and favorable interpersonal relationships with students, teachers, staff, administrators, parents, administrative support staff and maintenance personnel. The school secretary reports directly to the principal. 

Qualifications

High School Diploma or GED.  Previous secretarial experience preferred. Must possess good written and oral communication skills, and have the ability to communicate with all levels of staff, parents and students with a positive demeanor. Must have the ability to
multitask. Basic math and computer skills as well as general office skills are needed. Working knowledge of Microsoft Office products and Google Platform preferred.

Duties include, but are not limited to the following:

  1. Daily check-in meetings with the principal.
  2. Greets public, students and staff
  3. Opens door, screens visitors, keeps track of tardy students and early dismissals. Screens visitors through Raptor before entering school.
  4. Manages the school telephone system and directs messages.
  5. Contact parents, when necessary.
  6. Responsible for school office data entry/word processing.
  7. Processes all registration throughout the school year.
  8. Maintains up-to-date class lists on computer.
  9. Makes monthly reports to send to the District.
  10. Keeps accurate attendance records in PowerSchool.
  11. Responsible for breakfast and lunch counts and reports.
  12. Tabulates attendance for each grade period.
  13. Types all required reports - Federal, State, County, District, etc.
  14. Notifies teachers and nurse with information about new students.
  15. Make new files for each student.
  16. Keeps an accurate account of money collected, graduation fees, etc.
  17. Orders student records from previous school.
  18. Keeps accurate and proper placement of student cumulative files and permanent record cards.
  19. Sorts and delivers mail.
  20. Orders student records from previous school.
  21. Orders basic office supplies.
  22. Orders milk for students.
