Reports To: Director of Security

Position Summary

USP Security is seeking a highly organized, detail-oriented, and motivated Scheduling & Operations Coordinator to join our growing operations team. This is a fast-paced position responsible for managing employee schedules across multiple client locations while ensuring operational coverage, compliance, and exceptional customer service.

The ideal candidate thrives under pressure, possesses outstanding organizational skills, and is comfortable making difficult scheduling decisions while maintaining professionalism. This position requires someone who can effectively communicate with employees, enforce scheduling expectations, and adapt quickly to changing operational needs.

This role reports directly to the Director of Security and offers opportunities to gain experience in security operations, compliance, workforce management, and business administration.

Recent college graduates are strongly encouraged to apply.

Essential Responsibilities

Scheduling & Workforce Management

Develop, maintain, and manage daily and weekly employee schedules.

Ensure all client posts remain fully staffed while minimizing overtime.

Coordinate shift changes, call-offs, vacations, and emergency staffing needs.

Contact employees regarding available shifts and staffing shortages.

Maintain accurate scheduling records and employee availability.

Monitor attendance, missed shifts, and schedule compliance.

Exercise sound judgment when making staffing decisions in a time-sensitive environment.

Operations Support

Assist the Director of Security with day-to-day operational tasks.

Help maintain personnel records and scheduling documentation.

Coordinate communication between Operations Managers and field personnel.

Support administrative functions for special projects and client requests.

Compliance & Administrative Support

Assist with compliance audits and personnel file reviews.

Verify required licenses, certifications, and training records remain current.

Assist with quality assurance initiatives and internal operational audits.

Support invoicing, billing verification, and payroll-related administrative tasks.

Perform additional administrative duties as assigned.

Qualifications

Required

High school diploma or equivalent.

Strong attention to detail and organizational skills.
