Job Duties:
  • The Operations Coordinator performs a variety of complex administrative and technical support duties to assist in the daily activities and work flow of the Office of Internal Operations, and ensures the timely delivery of goods and services. Manages the coordination of work assignments, necessary follow-ups, special assignments, and projects as required by supervisor. Serves as primary back-up to the Internal Operations Manager when needed.

  • Serves as the primary coordinator for facility maintenance, office furniture, and office relocations. Assists with managing repair activities, deployment of services, and verifying accurate and timely completion. Prepares and reviews all purchase requisitions and works with Accounts Payable to ensure timely payment of invoices.

  • Manages all OpsHub related correspondence, and work requests for the agency. Coordinates proper actions and follows up as necessary. Makes recommendations to Operations Manager concerning procedural office improvements.

  • Oversees and documents all Internal Operations expenditures, including purchase orders, invoices, and vendor payments. Maintains the system for inventory and supplies. Maintains files and databases to ensure all projects are completed with efficiency and accuracy.

  • Serves as the primary coordinator of the maintenance and management of the state and county office storage of records. Receives requests from offices and maintains electronic listings for storage of various state and county office records. Answers inquiries and arranges pick-up and delivery of files.

  • Assists with the maintenance and management of the real property lease program. Determines expiration dates and processes necessary paperwork to ensure payments and continuances.

  • Assists Logistics Coordinator with the vehicle management program and monthly invoice preparation. In collaboration with the Administrative Specialist and Logistics Coordinator, assists with the vehicle reservation schedules, maintenance of the state-wide vehicle accident reporting system, and coordinating the reports with State Fleet.

  • Assists with monitoring and supporting surveillance system operations by documenting issues, maintaining equipment records, and ensuring compliance with internal security protocols.

  • Serves as back-up to Postal Director and Administrative Specialist as needed and performs special assignments and other related duties as required.

Minimum and Additional Requirements
A High School Diploma and eight (8) years of experience in business management, public administration or administrative services.
An Associate's Degree and six (6) years of experience in business management, public administration or administrative services.
A Bachelor's Degree and four (4) years of experience in business management, public administration or administrative services.
