What You Will Be Doing:
Scheduling Coordinators are responsible for maintaining a day to day calendar of all client scheduled events, staffing them with the appropriate vendor personnel, and liaising this information between sales, clients, and the vendors. Additionally, they are required to accurately set up the assignments and documentation in various databases in order for it to be followed correctly throughout the life of the assignment internally.
• Schedule depositions, arbitrations, meetings...etc in our internal database
• Confirm the next day's calendar with all clients / vendors
• Staff those proceedings with applicable independent personnel
• Answer client emails in regards to scheduling
• Assist in educating sales on the scheduling process, and handling correspondence for sales when necessary
• Answer the office phones as needed
• Document key information in job folders for each assignment in regards to client requests, production needs, and billing
• Proactively source new vendors for future assignments
• Complete all other tasks that are deemed appropriate for this role and assigned by the manager/supervisor
