Position Summary
The Scheduling Coordinator supports the coordination of installations, relocations, and delivery activities by managing schedules, resources, and communication across multiple teams. The role serves as an operational hub, ensuring projects move smoothly from planning through completion while maintaining accurate documentation and timelines. This individual works closely with internal departments, customers, and 3PL partners to keep activities aligned and on track. The position plays a key part in maintaining service quality, resolving issues quickly, and supporting continuous improvement in the scheduling process.
Essential Functions and Responsibilities
- Partner with key stakeholders and technical teams to deliver a seamless customer experience during installations, relocations, and asset movements.
- Use planning tools and routing systems to drive operational efficiency and ensure accurate, timely coordination of field activities.
- Align project timelines across internal departments and customer teams, ensuring clear communication and accountability.
- Identify potential schedule risks or delays and initiate timely corrective actions to maintain project continuity.
- Mindfully coordinate company resources and third‑party service providers to support project requirements.
- Develop clear and accurate Scopes of Work (SOWs) for installations, relocations, and related projects.
- Organize, attend, and participate in meetings.
- Provide administrative and operational support as needed.
- Communicate daily with 3PL partners to confirm schedules, resolve issues, and ensure on‑time performance.
- Verify completion of deliveries and relocations, ensuring all documentation, signatures, and records are accurate.
- Drive continuous improvement efforts that enhance scheduling accuracy, elevate the customer experience, and support white glove delivery standards.
Qualifications and Experience
Minimum Qualifications:
- High School Diploma or equivalent.
- Strong ability to multitask and prioritize in a fast‑paced, deadline‑driven environment.
- Excellent verbal, written, and video communication skills, with the ability to present information clearly.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Highly organized with strong attention to detail, accuracy, and documentation quality.
- Demonstrate ability to analyze information and solve problems to make sound business decisions quickly.
- Ability to take initiative and work independently.
- Strong customer service orientation and a collaborative, team‑focused mindset.
Preferred Qualifications:
- Experience in scheduling, dispatching, cross department coordination or customer service (office equipment industry experience a plus).
- Familiarity with 3PL operations, delivery workflows, or field service environments.
- Experience with scheduling software, CRM systems, or ERP tools.
