Position Summary

The MAC & Occupancy Coordinator supports daily workplace operations related to Moves, Adds, and Changes (MAC), occupancy coordination, and customer support activities across assigned buildings and office spaces.

This role is responsible for coordinating employee moves, supporting seat assignments, maintaining occupancy data accuracy, managing service requests/tickets, and ensuring a positive customer experience through timely operational support.

The position works closely with clients, workplace operations, facilities teams, vendors, and internal stakeholders to support efficient workplace services and day-to-day building operations.

This is an execution-focused operational support role that follows established workplace procedures, operational workflows, and occupancy coordination processes.

Key Responsibilities

Workplace Moves & Coordination

  • Coordinate employee and department moves, adds, and changes (MAC activities)
  • Support move scheduling and move execution activities
  • Prepare move communications and customer notifications
  • Track move requests and ensure timely completion
  • Coordinate with facilities, vendors, IT, and workplace teams during move activities
  • Assist with onsite move support and workplace setup activities

Occupancy & Space Support

  • Maintain accurate occupancy and seating data
  • Support workspace assignments and seat management processes
  • Assist with occupancy reporting and space utilization tracking
  • Update workplace systems and databases related to occupancy information
  • Support workspace audits and data validation activities

Customer Service & Ticket Management

  • Respond to customer inquiries related to workplace services and seating requests
  • Monitor and manage operational tickets/service requests
  • Escalate unresolved issues appropriately
  • Support SLA performance and timely resolution of requests
  • Maintain strong customer communication throughout the request lifecycle

Operational & Administrative Support

  • Prepare operational reports, trackers, and dashboards
  • Maintain documentation related to workplace operations and occupancy activities
  • Support special workplace initiatives and operational projects as needed
  • Assist leadership with reporting and coordination tasks
  • Ensure compliance with workplace operational procedures

Required Qualifications

Education

  • High School Diploma or equivalent required
  • Associate degree or coursework in Business Administration, Facilities Management, Workplace Operations, or related field preferred

Required Skills & Experience

Experience

  • 1-3 years of experience in workplace operations, facilities coordination, occupancy support, move coordination, administrative operations, customer service, or related operational support roles

Technical Skills

  • Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
  • Experience using ticketing systems, workplace tools, or space management systems preferred
  • Experience with Archibus, SharePoint, or similar workplace systems is a plus

  • May require occasional evening, weekend, or holiday work to support move activities, workplace transitions, or special operational events
  • Ability to adjust schedule as necessary to support critical workplace operations and client requirements

Preferred Qualifications

  • Experience supporting workplace moves or occupancy coordination
