Job description

Maximus is currently hiring for Exam Schedulers to join our Veterans Evaluation Services (VES) team. This is a remote opportunity. The Exam Scheduler is responsible for scheduling Compensation and Pension ("C&P") medical exams, for Veterans and Service Members, with trained VES providers. Additionally, they maintain close communication and build rapport with providers to capture exam availability, and build a relationship of trust and confidence.

  • Due to contract requirements, only US Citizens or Green Card holders can be considered for this opportunity.

  • This position will require 5 weeks of training, Monday - Friday 8AM-5PM Central Time with no absences allowed, starting Monday 8/17/2026.

Essential Duties and Responsibilities:

  • Search for veteran cases within assigned regions using company software. Monitor and manage cases on a daily basis.

  • Communicate with providers via phone or email to check availability and schedule examinations.

  • Coordinate with traveling providers as needed for examinations.

  • Make per diem reservations as necessary.

  • Schedule high-priority cases (e.g., BDD, IDES, and Short Notice exams) by calling veterans and obtaining verbal confirmation.

  • Ensure compliance with the Deliver Act regarding gender preferences.

  • Notify veterans of any scheduling changes from providers/facilities.

  • Schedule additional exams based on last-minute requests from the QA department.

  • Adhere to allotted exam times.

  • Accurately enter exam type, mileage, and relevant time zone when scheduling.

  • Engage with QCA team, in regard to provider availability for follow ups, or any concerns providers may have.

  • Collaborate with the NPL team in a timely manner, when newly certified providers are seeing their first case and any additional training needed.

  • Manage provider block times in company software as necessary.

  • Ensure correct CSR assignment of schedulers to cases.

  • Schedule veterans based on facility availability, veteran needs, and VA contractual guidelines.

  • Prioritize scheduling according to VA and VES expectations.

  • Maintain accurate case comments, documenting delays, scheduling plans, and communications with recruiters, veterans, providers, and facilities.

-Act as the primary contact for providers and per diems to ensure timely and compliant service for veterans.

  • Follow up with providers and facilities regarding delayed report submissions.

  • Request no-show fees and bonuses for providers when applicable.

  • Participate in meetings addressing regional challenges and updates from leadership.

  • Assist fellow schedulers during periods of decreased volume in the assigned region.

  • Report on current events that may affect scheduling or examinations already scheduled.

  • Maintain and update the calendar reflecting known holidays in the Area of Responsibility (AOR).

  • Adhere to HIPAA regulations by maintaining confidentiality of records and personal information.

Please note upon hire, Veterans Evaluation Services (VES), a Maximus Co. will provide all necessary computer equipment that is to be utilized to fulfill the duties of your role. New Hires will not be exempt from using company provided equipment.

  • In accordance with SCA contract requirements, remote work must be conducted from the location specified at the time of hire. Travel is NOT permitted, and you are required to remain at your designated home location for all work activities.
