Discovery Community Day Program, LLC is seeking a dependable, organized, and professional Secretary / Administrative Assistant to support our community-based day program serving adults with developmental disabilities. This position is ideal for someone who enjoys administrative work, has strong people skills, and values working in a supportive, mission-driven environment.

The Secretary / Administrative Assistant plays an important role in supporting daily operations, maintaining organized records, assisting staff and management, and creating a welcoming and professional office environment.

Essential Duties & Responsibilities:

Answer phones and greet visitors professionally

Maintain organized participant and program files

Prepare correspondence, reports, forms, and presentations

Assist with scheduling meetings, trainings, and appointments

Perform data entry and maintain accurate records

Support daily office operations including copying, scanning, filing, and emailing

Coordinate communication with staff, families, vendors, and regional center representatives

Maintain confidentiality of participant records and protected health information (HIPAA compliance)

Assist management with administrative and compliance-related tasks

Order and maintain office supplies

Provide clerical and administrative support to program leadership

Perform additional duties as assigned

Qualifications:Required:

High School Diploma or GED

Valid work authorization/work permit

Excellent organizational and multitasking skills

Strong verbal and written communication skills

Professional and dependable work ethic

Good interpersonal and customer service skills

Proficiency with:

Microsoft Word

Microsoft Excel

Microsoft PowerPoint

Ability to maintain confidentiality and professionalism

Preferred:

Experience working with individuals with developmental disabilities preferred

Experience in healthcare, social services, nonprofit, or community-based programs preferred

Bilingual skills are a plus

Employment Requirements:Employment is contingent upon successful completion of:Live Scan fingerprint/background clearance

Health screening and TB clearance

Verification of eligibility to work in the United States
