Job Title: Sample CoordinatorJob Description

The Sample Coordinator plays a critical role in supporting laboratory operations by managing all aspects of sample and standard handling. This position ensures the accurate receipt, tracking, storage, transport, and disposition of laboratory samples and standards in strict accordance with Standard Operating Procedures (SOPs) and regulatory requirements. Acting as a key resource for laboratory staff, the Sample Coordinator provides guidance on sample management processes, supports investigations and deviations, and helps maintain the integrity and reliability of laboratory activities.

Responsibilities
  • Perform comprehensive sample and standard management activities, including receipt, check-in, logging, labeling, inventory management, transport, storage, check-out, return, and disposal.
  • Maintain accurate tracking and documentation of samples and standards throughout their entire lifecycle to ensure full traceability and compliance.
  • Communicate sample and standard status updates clearly and promptly to laboratory personnel and relevant stakeholders.
  • Provide guidance and support to laboratory staff on proper sample handling procedures and storage requirements.
  • Review laboratory requests to confirm they comply with applicable SOPs and regulatory standards before processing.
  • Investigate deviations related to sample and standard handling, complete all required documentation, and support corrective and preventive action (CAPA) activities.
  • Assist with the development, review, and continuous improvement of sample handling processes and SOPs to enhance efficiency and compliance.
  • Train personnel on SOPs, storage requirements, and regulatory guidelines related to sample management and handling practices.
  • Respond to environmental monitoring alarms and participate in on-call responsibilities as needed to support continuous laboratory operations.
  • Ensure all work is completed safely, accurately, and within established timelines while adhering to quality and regulatory expectations.
  • Perform sample preparation and data entry tasks associated with sample and standard management, ensuring accuracy and completeness.
Essential Skills
  • Demonstrated experience in sample preparation, sample handling, and sample management in a laboratory or regulated environment.
  • Strong data entry skills with a high level of accuracy and attention to detail for logging and tracking samples and standards.
  • Ability to manage inventory of samples and standards, including labeling, storage, and disposal in accordance with SOPs.
  • Minimum of 2 years of relevant experience in a laboratory, sample management, inventory control, or regulated environment, or an equivalent combination of education, training, and experience.
  • Understanding of and ability to work within GMP, GLP, GCP, or other regulated laboratory environments (experience preferred).
  • Ability to interpret and follow SOPs and regulatory guidelines related to sample management.
  • Strong communication skills to provide status updates and guidance to laboratory personnel and stakeholders.
  • Ability to investigate deviations and support corrective and preventive actions (CAPA) with clear documentation.
  • Organizational skills to manage multiple samples, requests, and timelines simultaneously.
  • Commitment to completing work safely, accurately, and on time.
