Event Coordinator
Compensation
$65,000-$75,000/year. On-site collaboration is essential; we require 2 days in the Boston, MA office each week.
About Us
IANS is the trusted intelligence partner for enterprise CISOs and security leaders. We provide actionable advisory, peer benchmarking, and proprietary data that help security organizations make faster, more confident decisions. Our MCP connector and Vendor Intelligence Database (VID) peer benchmarking platform deliver intelligence and structured benchmarks across the security organization, putting IANS insights where security leaders are already working.
Role Overview
The Event Coordinator owns the end-to-end Solution Provider (sponsor) experience across IANS Forums. Reporting to the Senior Director of Events, this person is the primary point of contact for sponsors from kickoff through post-event follow-up, and plays a key role in the logistics, technology, and on-site execution that make IANS events run smoothly.
Responsibilities
  • Sponsor management (in-person Forums): Own the Solution Provider experience end-to-end - host kickoff meetings, set and communicate deadlines, maintain Box resources and FAQs, and manage the sponsor agenda, surveys, and post-event follow-up
  • Event logistics: Book and coordinate overnight accommodations, rooming lists, and VIP upgrades for staff, Faculty, and attendees; negotiate sponsor dinner contracts and venues; manage on-site signage and the printed program in coordination with the graphic designer
  • On-site execution: Build and distribute the staff manual for all events, manage the IANS mobile app's sponsor content, and attend events to provide hands-on support
  • Virtual Forums: Build and own virtual Forum events on the selected platform, including templates and sponsor content; co-host live sessions; manage outsourced Technology Spotlight hosts; continuously improve the virtual experience based on attendee feedback
  • Product Events: Create Salesforce campaigns and registration pages for IANS Virtual events
  • Cross-functional support: Help vet and source new vendors, support third-party events on-site, and assist with internal office events and other projects as assigned
Requirements
Education
Bachelor's degree preferred, or equivalent professional experience
Experience
1-3 years in event coordination, sponsorship management, or a related field
Skills
  • Vendor/sponsor relationship management
  • Event logistics and on-site production
  • Salesforce campaign and event registration setup
  • Proficiency with virtual event platforms
  • Ability to lift 50lbs
Certifications
None required
Interpersonal Skills
Strong communication and organizational skills; comfortable managing multiple deadlines and stakeholders (sponsors, Faculty, internal teams, vendors) simultaneously; willingness to travel for on-site event support
Why Join Us?
  • Impact: Directly shape the sponsor and attendee experience across IANS's flagship Forums- a visible, high-touch role tied to revenue-generating relationships
  • Culture: We foster a collaborative and inclusive environment where event work is a team sport
  • Benefits: Competitive salary, health benefits, and professional development opportunities
