About the Position
The Client Intake Support position provides essential administrative and operational support to RTGFL's Intake and Client Relations function. You will help keep client applications moving, maintain accurate records, coordinate appointments, and communicate with homeowners who may be experiencing financial or housing-related hardship.
The ideal candidate is organized, dependable, detail-oriented, and comfortable managing multiple priorities. Just as importantly, you should be able to communicate with patience, professionalism, and empathy.
Responsibilities
  • Review, organize, and track client applications and supporting documentation.
  • Contact clients to obtain missing documents, provide updates, and explain the next steps in the intake process.
  • Schedule phone assessments, site visits, client meetings, and other appointments.
  • Maintain complete and accurate client records in Salesforce and other tracking systems.
  • Respond to incoming calls and emails professionally, promptly, and compassionately.
  • Assist with materials and logistics for community outreach, intake events, and volunteer activities.
  • Complete administrative tasks such as scanning, data entry, document organization, and electronic filing.
  • Work closely with Intake, Program, Construction, and Operations staff to keep client applications moving efficiently.
  • Protect the confidentiality of client information and ensure that all communications and activities are properly documented.
  • Provide additional intake and client relations support as organizational needs arise.

Qualifications
  • High school diploma or equivalent required; some college coursework preferred.
  • Previous experience in administrative support, client intake, customer service, or a related role preferred.
  • Strong interpersonal, written, and verbal communication skills.
  • A professional, patient, and service-oriented approach when assisting clients.
  • Excellent attention to detail and organizational skills.
  • Ability to manage multiple responsibilities and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience using Salesforce or another client management system is a plus.
  • Ability to work independently and contribute effectively as part of a team.
  • Bilingual proficiency in English and Spanish is preferred but not required.
  • Flexibility to occasionally assist with evening or weekend activities.
