Administrative Assistant

Job Description

Under the direction of the Supervisor of Vanpool Services, the Administrative Assistant provides daily customer service and support for Vanpool staff. This position is responsible for implementing administrative processes in accordance with Pace policies and procedures. Essential functions include:

  1. Using analytical and organizational skills to assist in the timely preparation/distribution of Vanpool documents, efficiently maintaining electronic and paper filing systems, and timely processing vendor payments.
  2. Providing effective and efficient customer service and communication etiquette with internal and external customers, including vanpool participants, the public, contractors, public and private service agencies, and other Pace departments.
  3. Ensuring efficient and accurate performance of job functions, requiring the use of the various software programs utilized by Pace.
  4. Providing support in the day-to-day operations of services as required including both planned and unexpected occurrences.
  5. Using proficient written communication skills to correspond with both internal and external entities.
  6. Performing other administrative duties as required.
Qualifications

Education: Associate's degree in Business Administration, a related discipline or equivalent work experience required.

Experience: Must have at least three (3) years of experience in a similar role with excellent work history.

Licenses: Must have a current and valid State of Illinois, Wisconsin, or Indiana driver's license and a safe driving record.

Proficiencies: Must have intermediate level proficiency in the use of computer software, specifically with Microsoft Office Suite applications (Outlook, Word, Excel, and PowerPoint) and Adobe. Experience with Oracle and APEX preferred. Must demonstrate strong problem-solving, analytical, and critical-thinking skills; be highly organized with an extreme attention to detail. Must be able to successfully work on numerous projects simultaneously and efficiently, to meet project deadlines; demonstrate excellent reading comprehension, written and oral communication skills. Must be able to type with speed and accuracy; be adept at proofreading and editing documents for spelling, grammar, and punctuation; demonstrate excellent interpersonal skills; and maintain confidentiality.

Physical Requirements: This role requires sitting for extended periods, typing on a computer, and must be able to carry objects weighing up to 25 lbs.

Working Conditions: This position is based in an office setting, with standard office equipment, including a computer, phone, and desk space. This role may require travel within the six-county RTA region, and travel outside of the RTA region. This position is not eligible for a hybrid work schedule or remote work.

Salary:

Full Salary Range: $40,983-$84,068

Midpoint: $62,526

Anticipated Starting Salary Range: $51,754-$62,526
