Job Summary
The College of Arts and Sciences (A&S) at CU Boulder invites applications for The A&S Rotational Specialist position! This role is part of the A&S Job Rotation Program and is designed to provide generalist support to academic departments and the Office of the Dean within the College of Arts and Sciences. This position supports key operational functions across multiple departments throughout their term, with specific assignments tailored to the needs of each host office. The position exists to ensure smooth administrative processes in personnel, procurement, budget management, and student support. Rotators contribute to the College's mission by providing surge capacity for assigned departments and serve as an opportunity for future leaders to experience and learn the University's policies and procedures. Rotators collaborate with a cohort, participating in mentorship and professional development opportunities, as they gain exposure to both academic and non-academic workplace settings at the University of Colorado Boulder.

What Your Key Responsibilities Will Be
Student Programming Support:
  • Support the day-to-day administrative responsibilities for graduate and undergraduate programs, coordinating procedures and policies between the Graduate School, the College of Arts & Sciences, and various other departments across the campus.
  • Maintains student and program records, ensuring compliance with university retention requirements and maintaining accessible, accurate files for departmental use.
  • Generate reports (enrollment statistics, student data tracking, data compilation) as requested for assessment of progress and general student tracking. Knowledge of Slate, COGNOS reporting in CU-SIS, as well as update of departmental database used for ongoing surveys and University Fellowship applications.
Graduate Program Support
  • Collaborates with Office Manager and faculty leadership to manage graduate program budgets including university fellowship and recruitment funds, department graduate program operating budget and gift funds. Processes travel-related payments and reimbursements, stipends, and awards for graduate students.
  • Identifies student eligibility for achievements and awards. Coordinates with faculty to identify potential awards and applicants, notifies students, assists with provision of information about application processes and works with faculty to ensure that applications are complete.
  • Drafts offer letters for Teaching Assistants, Resident Assistants and Graduate Program Teaching Instructors, fellowships, etc. Implements all hiring processes, informs students about processes and procedures, and works closely with Campus HR Payroll Office to ensure smooth hiring process and resolve questions. Conducts work study and hourly hiring processes during academic year and summer.
  • Supports department staff in maintaining records (funding, committee meetings, etc.) to ensure students are meeting requirements and are on track to graduate.
  • Track electronic application files through faculty review and admit process. Determine/implement schedules and itineraries for graduate applicant recruitment visits to campus that are compliant with campus regulations and meet departmental budget requirements. Develop and disseminate visit itineraries for recruits with faculty and current graduate students. Submit official admissions documentation in a timely manner and handle all student correspondence regarding application requirements and admission decisions.
Undergraduate Program Support
  • Assists the Associate Chair for Undergraduate Studies in preparing the department's course schedule by gathering teaching requests, reviewing enrollment patterns, and providing data to support scheduling decisions.
  • Works with departmental staff to coordinate processes that overlap across undergraduate and graduate programs, contributing to consistency and efficiency.
  • Supports departmental efforts to deliver undergraduate program services that promote student success and align with the department's educational mission.
  • Curriculum/Course Scheduling Management and Support:
  • Supports the Associate Chair for Undergraduate studies, including gathering enrollment information, preparing course schedules, plan for changes in student demand.
  • Enters and updates department courses, recitations, and laboratories in CU-SIS each semester, ensuring accuracy and compliance with university procedures, and works with others to resolve basic scheduling issues.
  • Serves as a departmental contact for student registration and enrollment, providing guidance to students, instructors, and advisors during registration and adjustment periods, and resolving routine enrollment questions.
  • Manages prerequisite checks, grade submissions, and special enrollment requests, referring unique or complex cases to the Associate Chair or senior staff as appropriate.
  • Compiles and organizes departmental data on enrollment and student progress, preparing reports that assist leadership in planning and program assessment.
  • Coordinates logistics for exam accommodations and disability-related support for undergraduate courses, collaborating with staff and campus partners to ensure accessibility needs are met.
  • May provide direction to student employees assisting with program tasks, ensuring accuracy and consistency in program support.
Event Planning
  • Coordinates logistics for departmental events that support student engagement and new student orientation.
  • Works with faculty and staff to recruit volunteers and ensure resources are in place for departmental events and student programs.
  • Supports cross-unit events such as the Annual Spring Student Recognition Ceremony by gathering student and award information and assisting with event logistics.
  • Coordinates venues, prepares event materials, and communicates with vendors and campus partners to ensure events run smoothly.
  • Provides direction to student employees or assistants working on events, offering guidance on basic tasks and ensuring assignments are completed accurately.
  • Assists in documenting event procedures and maintaining records to support evaluation of student engagement activities.
Faculty and Staff Personnel Administration
Faculty Personnel
  • Manages the hiring process for temporary faculty in assigned departments for the Academic Year, ensuring compliance with established policies and procedures.
  • Oversees the hiring and appointment process for teaching faculty during the Summer Session, providing structured guidance and support as needed.
  • Assists the Faculty Governance Coordinator in developing and formalizing faculty administrative appointments.
  • Aids departmental and Dean's office staff in the preparation, compilation, and review of reappointment dossiers for teaching professor-rank faculty, ensuring accuracy and completeness.
  • Reviews and verifies sabbatical applications submitted to the Dean's Office for accuracy and completeness, providing structured oversight.
  • Organizes and reindexes the OnBase filing system to improve efficiency and accessibility, applying strategic thinking to enhance document management practices.
  • Supports the administration of other faculty personnel documentation, including hiring/reappointment packets, sabbatical applications,
Staff Personnel
  • Supports the recruitment process for various staff types (Classified, University, Temporary, Retiree) in adherence to college, campus, university, state, and federal policies.
  • In collaboration with department leadership, A&S HR, and Campus HR, manages position descriptions by overseeing the creation and updates to ensure alignment with the department's organizational needs and strategic goals.
  • Communicates policy and procedural updates effectively in collaboration with Arts & Sciences (A&S) HR and Campus HR to ensure compliance and understanding.
  • Verifies receipt and documentation of signed offer letters and addendums, maintains accurate personnel records, ensures background check and training completion.
  • Maintains performance management and evaluation documentation in accordance with retention policies for all staff classifications, ensuring compliance and proper record-keeping.
  • Coordinate with department leadership and A&S HR for staff addendum submissions and approvals.
  • Works with the Director of Staff Affairs and A&S Staff Affairs Specialists to review and update staff position descriptions, determining appropriate job codes, levels, market salary ranges, and equity considerations based on assigned responsibilities.
  • Manages the organization and filing of staff personnel documentation in OnBase, maintaining a well-structured and accessible records system.
  • Organizes and reindexes the OnBase filing system to improve efficiency and accessibility, applying strategic thinking to enhance document management practices.
Finance and Procurement Administration
  • Determines when new speedtypes are required and when speedtypes are no longer needed and works with the Campus Controller's Office as appropriate.
  • Review accounts to determine appropriateness of transactions for type of account, identify and initiate corrections as needed.
  • Reviews purchase reimbursements, procurement card and travel card charges, journal entries, cash transfers, purchase requisitions, and travel reimbursements.
  • Ensures compliance with University, State, and Federal rules and regulations.
  • Reconciles transactions to ensure approved and posted to correct account.
  • Reviews actuals vs. budgeted for variance analysis for department salary speedtypes.
  • Identifies errors and initiates appropriate corrections.
