Job Description:

Eskola, LLC's Lexington, Kentucky branch is seeking a motivated individual to join our growing team! The Office Manager is responsible for all office administration, reception, and assistance as required by corporate, branch manager, and other office personnel.

The Office Manager will ensure office coverage, maintain excellent communication with clients, ensure company administrative needs are met, and ensure finances are kept up to date. The Office Manager provides support to the Branch Manager and Project Managers as required to set up, maintain, and complete jobs. The Office Manager ensures all supporting documents are provided to corporate AP, AR, Payroll, Finance, and HR departments.


Job Duties and Responsibilities:

Office Administration:

  • Manage daily office functions including answering calls, responding to emails, and maintaining organized records.
  • Coordinate correspondence, documentation, and filing for contracts, permits, and project details.
  • Arrange travel, meetings and other events as need arises.


Project Coordination and Scheduling:

  • Work closely with Project Managers, Service Managers, and field crews to schedule roofing projects and ensure timely completion.
  • Assist in the preparation of bids, proposals, and project documentation.
  • Register company personnel for training as requested.


Financial Management:

  • Process invoices, monitor accounts receivable/payable, and assist in budgeting.
  • Collaborate with accounting teams to reconcile financial statements and manage payroll.


Customer & Vendor Relations:

  • Serve as a primary point of contact for clients, addressing concerns and providing updates on project status.
  • Maintain relationships with suppliers, subcontractors, and service providers, ensuring timely delivery of materials and services.
  • Return all correspondence within 1 business day.
  • Prioritize and train others to value customer service.


Compliance and Recordkeeping:

  • Ensure compliance with industry regulations and safety standards.
  • Maintain accurate records of projects, contracts, insurance documents, and other critical paperwork.


Team Support:

  • Supervise Administrative staff and provide training to ensure office efficiency.
  • Collaborate with HR on employee hiring, scheduling, performance reviews, and related tasks.


Office Management:

  • Oversee and maintain the operational integrity of all office equipment.
  • Monitor and replenish inventory for office and common area supplies.
  • Coordinate and supervise cleaning services to ensure a pristine work environment.
  • Implement and manage office closing procedures to ensure security and compliance.
  • Regularly update voicemail, email, and website notifications with current office hours, holiday schedules, and other pertinent information.
  • Perform additional responsibilities as assigned to ensure the smooth and efficient operation of the branch office, at the direction of the Branch Manager, Regional Manager, or Corporate Leadership.



Job Requirements and Qualifications:

Education and Experience:

  • High School Diploma or GED equivalent.
  • Minimum of 3 years’ experience in office management, preferably within the construction or roofing industry.


Skills:

  • Demonstrates exceptional proficiency in both written and verbal English communication.
  • Exhibits a proven ability to leverage and adapt to emerging business technologies.
  • Proficient in Microsoft Office Suite, QuickBooks, and other office management software.
  • Extensive experience in accounting processes and payroll systems, including relevant software applications.
  • Available for occasional overtime as required.
  • Posses a current Public Notary certification.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Excellent communication and interpersonal skills to effectively interact with clients, vendors, and team members.
  • Problem-solving mindset with the ability to manage multiple priorities under pressure.
  • Must be able to successfully complete a pre-employment background check and drug screening as a condition of hire.
  • Must possess a valid driver’s license and maintain an acceptable driving record that meets company and insurance requirements to travel to job sites as required.


Preferred Skills & Certifications:

  • Bilingual fluency in English and Spanish is preferred
  • Knowledge of commercial roofing practices, safety regulations, and construction terminology is a plus.
  • Specialized training in areas such as accounting, business management, or legal studies.
