Event & Fundraising Support
Job Description
The Event & Fundraising Support team member provides logistical and administrative support for school events, fundraisers, and community engagement efforts. The person in this role assists with execution, organization, and day-of-event needs.
Overview
  • Position: Full-time, hourly, 11 months, non-exempt
  • Work Schedule: 7:30 AM - 3:45 PM daily, 214 days, plus occasional nights and weekends as deemed necessary.
  • Benefits: New full-time employees are eligible for insurance coverage beginning the first of the month following 60 days of employment, a 3% match of employee retirement contributions with a two-year vesting period, and 12 days of PTO.
  • Pay: $16/hour
  • Reports to Chief Operating Officer

Specific tasks required of this role include, but are not limited to, the following:
Event & Fundraising Support
  • Attend and assist with the setup, execution, and breakdown of school events and fundraisers.
  • Support event logistics, including materials preparation, coordination of supplies, and on-site assistance, including evenings or weekends as needed..
  • Help implement event plans as directed by the supervisor.
  • Review and acknowledge event request forms and ensure necessary parties are informed of relevant details.
  • Evaluate events post-completion to gather feedback and identify areas for improvement.

Volunteer & Community Support
  • Recruit, schedule, and manage volunteers for Lower School programs, fundraisers, and events.
  • Manage Volunteer tracking software and track volunteer status with the district.
  • Help track volunteer participation and support appreciation efforts.

Communications & Marketing Assistance
  • Support the distribution of promotional materials and event communications.
  • Contribute content for Weekly Roar.
  • Assist in gathering content (photos, basic updates) for marketing and social media use.

Organization & Logistics
  • Maintain the event calendar and keep the Google calendar up-to-date that syncs with the website.
  • Maintain organization of event supplies and materials.
  • Assist with inventory, preparation, and reuse of event items.
  • Support scheduling and coordination needs related to events.

Fundraising Assistance
  • Support fundraising efforts by assisting with donation tracking, sponsor outreach tasks, and event-related fundraising activities as assigned.
  • Assist with budget creation and tracking for events.

General Support
  • Provide additional support for engagement initiatives and special projects as assigned.
  • Oversee coordination of Fall, Spring and Staff picture days..
  • Collect shirt sizes for staff and scholars, and distribute shirts.
  • Assist with field trip preparations.
  • Assist with the arrival and dismissal carline as scheduled.
  • Collaborate with operations team in emergency situations and serve on the safety team.
  • Assist at the front desk when additional coverage is needed.
