Description

JOB DESCRIPTION:

  • Maintain current/incoming and alumni files for all programs. (hard copies/electronic)
  • Supervise two reports. Responsible for Annual Performance Reviews for both
  • Member: AAPAE (The Association of Anesthesiology Program Administrators and Educators (SAAAPM)
  • Provides input into departmental objectives, especially those pertaining to the residency program. Establishes and administers departmental policies and procedures pertaining to teaching requirements, course objectives, and course content in compliance with applicable regulations.
  • Collects and analyzes data to advise management of long range needs.
  • May develop various communications materials/methodologies such as newsletter articles, memos, videos, workshops, brochures, and focus groups.

Pain Medicine - (ACGME Accredited Program)

RAAPM/Neuroanesthesia/Anesthesia Liver Transplant (Non ACGME Programs)

Coordinates and directs departmental activities which may include the department's residency program, the transitional year program and/or other programs.

Plans and develops courses for medical students, manages the course budget, negotiates with outside agencies to obtain funding and support for the course, and coordinates and administers the course throughout the academic year. Arranges, administers, and proctors certifying and sub-specialty exams.

  • Coordinate Annual Program Evaluation (APE) and Self-Study documentation
  • Maintain updates in the ADS (ACGME)
    • Faculty and Fellow Roster Updates
    • Block Diagrams revisions annually
    • Annual ADS report submission

  • Coordinate Annual Program Evaluation and Self-Study documentation
  • ACGME Milestones
  • Maintain Program Evaluation Committee (PEC) and Clinical Competency Committee minutes from meetings. Coordinate meetings of each.
  • Proctor ABA In-Training Exam.
    • Coordinate the SOM Computer Lab, IT Technician and building access
    • Provide information to the fellows before exam date
  • GME
    • Compliance tracking of duty hours via GME office/New Innovations
    • Program Evaluation via GME
    • Coordinator SAFER videos to the program fellow/faculty via GME
    • All other requests from the GME office attending workshops/meetings in-person, Zoom or Teams, two - three times monthly.

Didactics

  • Coordinating Didactics to the calendar for Pain Faculty/Moderators/CHOA Pain Faculty/Residents on services
  • Coordinating Zoom links for each
  • Coordinating outside models for the Ultrasound Workshops
  • Coordinating Cadaver from Emory Donor Program to MSK location for training including transportation.
  • Coordinating Ultrasound Workshop for CME credits and models (annual)

Finance - Develops, administers and monitors intern, resident, and operating budgets.

  • Reimbursement - University
    • Maintain balance sheets for Fellows from education funds
    • Program Director(s)/Assistant Program Director(s) from University Pain Funds
    • FTE for the GME office of various clinic/hospital locations.
    • Process invoices

QGenda

  • Deployment schedule for the Fellows
  • Call schedule for the Fellows and Residents on the Pain Service
  • Coordinate with QGenda team when fellows/residents are not integrating with EHConnet paging system.

New Innovations (Platform)

  • Evaluations via New Innovations Platform to Faculty and Fellows
  • Coordinate the feedback to each faculty and fellows from evaluations
  • Coordinate the case logs for alumni and current fellows

Onboarding/Credentialing

  • Coordinate onboarding via GME hospital sites
  • Verification of credentialing on alumni and current fellows
  • Tracking Pass Board Results of Alumni Pain Fellows
  • Coordinate Access of various hospitals sites/parking
  • Maintain alumni files (Pain/RAAPM/Neuroanesthesia/Anesthesia Liver Transplant
  • Assist incoming fellows and GME with Georgia Licensing
  • Coordinate requests for Risk Management information via Emory Claims via verification/credentialing vendors.
  • Assist fellows with their VA onboarding each month for computer access as well as onboarding.
  • Coordinate Orientation for Incoming Fellows

Recruitment (Fellows) - Interviews applicants and recommends candidates for admission to the residency program.

*Use of ERAS - Pain (accredited program)

*Use of SF Match - RAAPM (non-accredited program)

  • Responsible for the initial review of applications using program criteria. (220)
  • Responsible for setting up interviews via in-person for Pain Medicine (48)
  • Responsible for setting up interviews via Zoom for RAAPM (1-6)
  • Responsible for inputting Match Lists in for both ERAS and SF platforms
  • Contact for both accredited program and non-accredited programs
  • Anesthesia Liver Transplant and Neuroanesthesia as required through the department Human Resources.

Graduation

  • Coordinate certificate requests from GME (Pain/Chronic)
  • Coordinate Graduation Dinner for the Pain Group (Fellows, Pain and Multidisciplinary Faculty - Chronic)
  • Order non-ACGME certificates from Jostens
  • Ordering Certificate Jackets from Jostens (Residents, Pain, CT, CC, OB, CHOA and non-ACGME graduates)
  • Performs related responsibilities as required.

MINIMUM QUALIFICATIONS:

  • A bachelor's degree in business administration or a related field and five years of professional business administration or management experience OR an equivalent combination of related experience.

NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
