Description
We are seeking a detail-oriented and technically proficient Client Service Associate to serve as the analytical and execution backbone of our advisory pod. Working in close partnership with the Financial Advisor, this individual will be responsible for preparing, coordinating, and delivering the technical components of the client experience - ensuring every client interaction is accurate, organized, well-prepared, and actionable.
This role is best suited for a highly organized professional with a strong foundation in financial planning support and operations, who takes pride in precision, thrives in a structured environment, and understands that their work directly enables an exceptional client experience.
Key Responsibilities
Serve as the technical and operational engine of the advisory pod - ensuring all planning materials, analyses, and deliverables are prepared with accuracy and delivered on time, enabling the Financial Advisor to focus entirely on client relationships and decision-making. Additionally, support the advisor with investment and risk management operations project management including interacting with RIA and insurance brokerage key stakeholders to support the overall client experience.
1. Meeting Preparation & Planning Outputs
  • Prepare all client meeting materials in advance, including:
    • Retirement projections and income analysis
    • Investment performance and portfolio analysis
    • Financial planning summaries and supporting outputs
  • Ensure all materials are accurate, clearly presented, and delivered within established timelines
  • Maintain and update client planning data within the firm's planning systems and tools

2. Implementation Coordination
  • Coordinate with RIA Operations partners to facilitate timely execution of client recommendations and instructions
  • Liaise with insurance brokerage partners to support the implementation of risk management and insurance strategies
  • Ensure all implementation steps are tracked, confirmed, and communicated appropriately

3. Action Item Tracking & Follow-Through
  • Capture and manage all post-meeting action items with clear ownership and deadlines
  • Monitor progress on outstanding items and proactively follow up to ensure timely resolution
  • Support the Financial Advisor in maintaining a seamless, friction-free client experience between meetings

4. Internal Collaboration & Pod Support
  • Work closely with the Financial Advisor to ensure alignment across all client workstreams
  • Communicate proactively on timelines, dependencies, and any issues that may affect delivery
  • Contribute to continuous improvement of internal processes, templates, and planning workflows

Success in this role is defined by the quality, accuracy, and timeliness of all planning deliverables. Key performance indicators include:
  • Accuracy and reliability of all client meeting materials and planning outputs
  • On-time preparation and delivery of materials ahead of scheduled client meetings
  • Effective coordination across investment operations and insurance partners
  • Timely resolution of post-meeting action items
  • Ability to enable the Financial Advisor to operate without operational friction or delays

Qualification & Required Experience
Required
  • 3+ years of experience in financial planning support, investment operations, or administrative roles within wealth management
  • Proficiency in retirement analysis, investment analysis, and financial planning tools (e.g., eMoney, RightCapital, or similar)
  • Familiarity with CRM platforms (e.g., Wealthbox, Slant, etc.)
  • Exceptional attention to detail and commitment to accuracy
  • Strong organizational and time management skills

Preferred
  • Series 65/66 licenses - active and in good standing
  • State Life & Health insurance producer licenses
  • Experience working within a team-based or pod advisory model
  • Exposure to insurance brokerage coordination and implementation workflows
  • CFP® candidacy or interest in pursuing professional designations
