Job description

Position Summary:
The Sales Operations Bid / Proposal Coordinator plays a critical role in supporting Pyle's growth by managing the Request for Proposal (RFP) and Request for Information (RFI) process from receipt through submission. Working closely with Enterprise Sales, Pricing, Sales Operations, and other cross-functional teams, this position serves as the central coordinator for bid activity, ensuring proposals are organized, accurate, and submitted on time.
This role requires exceptional organization, attention to detail, and the ability to manage multiple priorities while collaborating with internal stakeholders and external customers. The ideal candidate enjoys coordinating complex projects, improving processes, and helping sales teams compete for new business opportunities.
The responsibilities of the position include, but are not limited to:
  • Serving as the primary coordinator for all incoming RFP, RFI, and customer questionnaire requests
  • Reviewing bid opportunities to identify requirements, timelines, and key deliverables
  • Accessing and manage third-party bid platforms to retrieve opportunities, distribute documentation, and facilitate timely submissions
  • Coordinating the completion of RFPs, RFIs, security questionnaires, and other customer-requested documentation by partnering with Sales, Pricing, Operations, and other subject matter experts
  • Collaborating with Enterprise Sales Representatives and Pricing Analysts to ensure bid strategies, pricing requests, and proposal responses are aligned and completed on schedule
  • Tracking project milestones and proactively communicate deadlines, outstanding deliverables, and submission status to stakeholders
  • Assisting with the entry and tracking of bid opportunities, pricing requests, and customer information within Salesforce
  • Maintaining accurate records, reporting, and documentation for all bid activities
  • Supporting new customer onboarding activities by coordinating with Enterprise Sales, Operations and other internal teams to ensure a smooth transition from awarded business to implementation
  • Identifying opportunities to improve bid management processes, workflows, and reporting to increase efficiency and enhance the customer experience
  • Perform other Sales Operations responsibilities and special projects as assigned

To be qualified for this position, you should possess the following:
  • Associate's or Bachelor's degree preferred
  • Experience in Sales Operations, Sales Support, Revenue Operations, Pricing, Sales Administration, Project Coordination, or a related business support role
  • Experience working with Salesforce or another CRM platform
  • Strong proficiency with Microsoft Office, particularly Excel
  • Excellent organizational and project coordination skills with the ability to manage multiple concurrent deadlines
  • Strong written and verbal communication skills with the ability to collaborate effectively across departments
  • Exceptional attention to detail and commitment to accuracy
  • Analytical mindset with the ability to interpret customer requirements and coordinate appropriate responses
  • Self-motivated, proactive, and adaptable in a fast-paced environment
  • Continuous improvement mindset with a desire to streamline processes and enhance team effectiveness
