The Retirement Plan Associate plays a vital support and coordination role within Provenance Wealth Advisors' growing Retirement Plan Services team. This individual is responsible for assisting consultants and advisors in delivering exceptional retirement plan consulting services to plan sponsors and their participants. The position requires strong organizational, analytical, and communication skills to handle technical plan administration tasks, client service activities, and team-based project coordination.
This is a mid level role ideal for a retirement plan professional who understands plan operations and compliance requirements and thrives in a fast-paced, client-facing environment with room to grow.
Job Duties and Responsibilities
Technical Responsibilities
  • Assist in the preparation and review of plan documents, amendments, investment policy statements, and fiduciary files.
  • Prepare fee benchmarking reports, fund performance summaries, and draft plan comparisons during RFPs.
  • Maintain accurate and timely records in CRM, retirement plan platforms, and internal databases.
  • Track plan-related regulatory deadlines and coordinate with service providers to ensure compliance.
  • Stay updated on retirement plan regulations (ERISA, DOL/IRS guidelines), industry trends, and vendor platform changes.
  • Compile financial metrics for retirement unit, gather key data from vendors and reconcile quarterly advisor payments.
  • Track open prospect opportunities

Client-Facing Responsibilities
  • Respond to routine plan sponsor inquiries, including document requests, contribution questions, and service issues.
  • Prepare materials for client review meetings and committee presentations.
  • Participate in client meetings and assist in documenting action items and follow-ups.
  • Coordinate participant education sessions, enrollment meetings, and distribute educational materials as needed.
  • Assist with onboarding new retirement plan clients, including information gathering, document collection, and setup coordination.

Team Responsibilities
  • Work closely with Retirement Plan Consultants and Advisors to deliver comprehensive plan support and service.
  • Collaborate with internal departments such as Investment Research, Compliance, and Operations on plan-related needs.
  • Support training efforts for junior staff and contribute to documentation and process improvements.
  • Act as liaison with third-party administrators (TPAs), recordkeepers, and custodians for plan-related tasks and escalations.
  • Maintain a proactive, service-oriented culture aligned with PWA's fiduciary values and client service standards.
  • Oversee plan sponsors' investment fund lineup performance, including making replacement recommendations as needed.

Work environment
  • This role is based in a professional office environment and routinely uses standard office equipment such as computers, phones, and photocopiers.
  • Occasional travel may be required to attend meetings, conferences, and client engagements.
  • The role requires the ability to manage multiple priorities and work in a fast-paced, dynamic environment.
  • The role requires the ability to maintain strict confidentiality regarding sensitive company and client information.

Education/Experience
  • Bachelor's degree in Business, Finance, Accounting, or related field.
  • 3-5 years of experience working with employer-sponsored retirement plans in a recordkeeping, advisory, or TPA capacity.
  • Strong understanding of qualified retirement plans (401(k), 403(b), profit-sharing, DB) and plan operations.
  • Proficiency with Microsoft Office Suite (especially Excel), CRM tools, and retirement plan platforms.
  • Ability to manage multiple tasks and deadlines in a detail-oriented, fast-paced environment.
  • Excellent written and verbal communication skills with a client-service mindset.
