Job description

We're looking for a Financial Controller & HR Manager to help the General Manager lead the Hi-Lo Hotel, Autograph Collection by Marriott in downtown Portland.

ESSENTIAL FUNCTIONS:

  1. Ensure that all work is done accurately, timely, and in accordance with Radiate Hospitality standard accounting practices by directing the overall operations of the Accounting Department.
  1. Provides guidance for management by directing, preparing, and providing accurate financial analyses
  • Assures compliance with internal controls
  • Investigates problems that may arise in reporting of hotel operational results and financial performance
  • Conducts audits to ensure that systems are working accurately by performing audits
  • Directs and maintains a flow of communications
  • Analyzes variances to budget in the operating statement, making appropriate recommendations for improved efficiencies and cost savings
  • Audits weekly costs and expenses
  • Identifies operational areas that are inefficient and suggests possible solutions to the Executive Committee
  • Manage Cash Flow and report any unusual transactions
  1. Achieves the best possible financial status for the hotel by performing a variety of control functions
  • Authorizes accounting-related documents according to Radiate Hospitality Policies and Procedures
  • Optimize cash flow according to Radiate Hospitality Policies and Procedures
  • Complies with all applicable laws, rules, and regulations by preparing and filing tax and license information returns
  • Assures collection of accounts receivable
  • Ensure accounts payable invoices are processed in a timely and accurate manner
  • Reconcile hotel daily revenue/ IJ and record all revenue accurately.
  • Reviews and maintains accurate files on all contractual obligations of the hotel
  1. Prepares reports as requested to develop a more informative database for improved management decision-making and critical evaluation of work activities
  • Directs the preparation of any information required by owners, corporate office, or General Manager
  • Compiles daily, weekly, monthly, and quarterly reports
  • Assists all departments in the preparation of forecasts and budgets
  • Monitor labor and expenses closely such as housekeeping CPOR, loyalty costs, utilities, etc.
  • Assist and educate Managers on cost control and labor control. The scheduling needs to be in line with the forecast
  • Prepares monthly financial statements and year-end closings
  • Maintains capital improvement register
  • Support for GM on contracts & service agreements. Maintain theโ€ฏCritical Data List (CDL) up to date and advise the GM prior to renewal
  • Support GM and Executive Team at weekly, andโ€ฏmonthly meetings. Train the Leadership team in financial understanding
  1. Participate in monthly F&B inventory counts. Review and update the pricing continuously. Theโ€ฏF&B Director & Chef areโ€ฏNOT responsible for the spreadsheet.
  1. Retail shop inventory. Double-check the inventory sheet. Make sure the numbers and pricing are correct. Perform audits, investigate the variances, write off spoilage, record VIP's amenities, and inventory movement from one department to another department correctly.
  1. Balance sheet Reconciliations include keeping up to date and completing all the tabs. Reconcile and clear as needed.
  1. Process Payroll includes auditing and verifying the restaurant/lounge tips and banquet service charges.
  1. Keeps immediate supervisor promptly and fully informed of all problems or unusual matters of significance.
  1. Performs all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures to achieve the overall objectives of your departments.
  1. Maintains a favorable working relationship with all other hotel employees to foster and promote a cooperative and harmonious working climate
  1. Performs other duties as requested.
  1. All aspects related to hiring (advertisements, job postings, recruiting, interviewing, processing, transfers, orientation, onboarding, entering new hire information into HR system, etc.)
  1. Background checks, reference checks, job offer letters.
  1. All internal employee transactions, compensation, and processes (promotions, transfer, performance review, termination, wage & scale surveys, engagement survey, etc.)
  1. Compliance (employee signing of documents, labor posters, etc.) / Monthly reports, quarterly reports (claims review) and annual reports (EEO-1, wage survey, etc.)
  1. File Maintenance
  1. Employee Relations / Employee documentation / Note-to-files.
  1. All benefits administrative related tasks (enrollment, benefit orientation, deduction input into HR system)
  1. Develop, implement, and present quarterly training.
  1. Responsible for any reminders, bulletins, etc.
  1. Leaves of Absences (FMLA, Pregnancy Leave, etc.), Worker's Comp
  1. Any Payroll related issues (especially with absence of GM)
  1. Working with GM to coordinate Monthly All Team Member meetings and recognition programs.
  1. Terminations / Off-boarding and exit interviews.
  1. Manage all job postings across the Radiate organization.
  1. Submit all background checks.
  1. Job postings
  1. Any implementations / rollouts directed from corporate office.
  1. Wage analysis for all properties
  1. Ad hoc responsibilities & performs other duties as requested.
