Bookkeeper & Payroll Manager (Multi-Entity Operations)


Location: Bracey, VA


Salary Range: $80,000 - 90,000 annually


Job Summary

The Bookkeeper & Payroll Manager (Multi-Entity Operations) is responsible for full-cycle bookkeeping, payroll processing, and tax compliance across multiple business entities including facilities operations, real estate, self-storage, and restaurant concepts. This role ensures accurate financial records, timely reporting, and regulatory compliance while managing daily transactions, reconciliations, and entity-specific financial requirements across both QuickBooks Desktop and QuickBooks Online platforms.

This position is ideal for a highly organized, detail-oriented accounting professional who thrives in a multi-entity, hands-on environment and enjoys supporting growing, diverse operations.


Key Responsibilities


Entity Accounting & Bookkeeping

  • Manage full-cycle bookkeeping for multiple entities using QuickBooks Desktop and QuickBooks Online
  • Record, review, and reconcile daily financial transactions across all businesses
  • Perform monthly bank and credit card reconciliations
  • Maintain clean, accurate, and audit-ready financial records
  • Prepare monthly and periodic financial statements and management reports


Payroll & Tax Compliance

  • Process multi-entity payroll accurately and on schedule
  • Prepare and file payroll tax returns and related compliance filings
  • Prepare and submit sales tax returns for applicable entities
  • Ensure compliance with federal, state, and local tax requirements
  • Manage annual permits, licenses, and compliance filings


Accounts Receivable & Payable

  • Oversee accounts receivable and accounts payable for all entities
  • Ensure timely invoicing, collections, vendor payments, and expense tracking
  • Maintain proper documentation and approval workflows


Restaurant & Inventory Accounting

  • Import and reconcile daily restaurant sales receipts
  • Track and manage food, beverage, and operational inventory
  • Support cost control and inventory reporting initiatives


Facilities, Real Estate & Storage Operations

  • Prepare monthly facility inventory and operational reports
  • Manage AR/AP and reconciliations for real estate and storage entities
  • Support entity-specific reporting and compliance requirements


Year-End & Accountant Support

  • Support month-end and year-end close processes
  • Prepare and provide documentation to external accountants, CPAs, and tax professionals
  • Assist with audits, reviews, and financial inquiries as needed


General Duties

  • Maintain accurate, organized, and confidential financial records
  • Identify opportunities for process improvements and efficiencies
  • Serve as a trusted financial partner to ownership and leadership
  • Handle sensitive financial information with professionalism and discretion


Qualifications

  • Minimum of 5 years of experience in full-cycle bookkeeping and payroll
  • Experience managing multiple entities simultaneously
  • Strong proficiency in QuickBooks Desktop and QuickBooks Online
  • Solid understanding of payroll taxes, sales tax, and regulatory compliance
  • Experience in restaurant, facilities, real estate, or multi-unit operations preferred
  • Highly organized, detail-oriented, and self-directed
