Job description

Job Title: Human Resource Assistant
Department: Human Resources
Reports To: Director of Human Resources / Organizational Development
Employment Type: Full-Time

Position Summary

The Human Resources Assistant provides administrative and operational support to the HR department. This role is responsible for assisting with day-to-day HR functions, including recruitment coordination, employee records management, onboarding, compliance, and general employee support. The ideal candidate is highly organized, detail-oriented, and capable of handling confidential information with professionalism.


Key Responsibilities

HR Administration

  • Maintain accurate and up-to-date employee records, both electronic and physical files
  • Assist in processing employee status changes (hires, terminations, transfers, promotions)
  • Ensure HR documentation is completed, filed, and compliant with company policies and legal requirements
  • Support payroll preparation by providing relevant employee data and updates

Recruitment & Onboarding

  • Coordinate job postings, screen resumes, and schedule interviews
  • Assist in preparing offer letters and employment documentation
  • Facilitate new hire onboarding, including orientation scheduling and document collection
  • Ensure completion of I-9 forms, background checks, and onboarding compliance

Employee Relations Support

  • Serve as a point of contact for employee inquiries related to HR policies and procedures
  • Assist in handling employee concerns and escalating issues as appropriate
  • Support engagement initiatives and internal communication efforts

Compliance & Reporting

  • Ensure compliance with federal, state, and local employment laws and regulations
  • Assist with audits and preparation of HR reports (e.g., headcount, turnover, attendance)
  • Maintain confidentiality of sensitive employee and company information

Training & Development

  • Coordinate training sessions and track employee participation
  • Support performance management processes, including evaluations and documentation

General Support

  • Assist with benefits administration, including enrollment and employee inquiries
  • Support HR projects and initiatives as assigned
  • Perform other administrative duties as needed to support the HR function


Qualifications

Education & Experience

  • Bachelor’s or Associate degree in Human Resources, Business Administration, or related field preferred
  • 1–3 years of experience in an HR or administrative role
  • Experience in a manufacturing or fast-paced environment is a plus

  • Strong organizational and time-management skills
  • High attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with discretion
